Essential Duties and Responsibilities:

• Responsible for handling all civil return process actions through the Sheriff’s Dept including:

  • Adoptions
  • Citations
  • Emergency Order of Protections, Interim Orders, and Plenary Orders
  • Verified summons and notices; General summons and notices, Summons Dissolutions
  • Subpoenas
  • Wage Deductions
  • Orders and Rules
  • Summons for disabled persons and guardianships
  • Evictions, Replevins, Foreclosures
  • Body attachments and Bond with Body attachments
  • Warrants and Bond with warrants
  • Traffic tickets and bond with traffic tickets
  • Notice paperwork for Secretary of State
  • Tax Notices
  • Process all Billing for the following actions through the Sheriff’s Dept including:
  • Served and attempted civil process paperwork
  • All body attachments that are served in LaSalle County
  • Billing to attorneys for foreclosures performed by the Sheriff’s Dept
  • Set up, Certify and Bill all respective parties for tax notices
  • Responsible for answering questions and communicating with the public, attorney’s and other counties with regard to
service, process fees, jurisdiction, foreclosures, and bond information.
  • Handles all return information for warrants, body attachments including bond information; entry of all tax notices into system
for service; entry of all payment information as needed for billing for service and return of tax notices.
  • Backup Clerk I with Entry of Warrants and Writs
  • Responsible for Account Receivables and Dispursements:
  • Maintains and issues checks from the Sheriff’s Office checking account
  • Dispurses and maintains petty cash account for all relays
  • Maintains all petty cash receipts and tracks for monthly reimbursements
  • Handles weekly deposits to Treasurer’s Office for all civil process funds received
  • Handles billing and mailing

  • Additional duties/responsibilities:
  • Train Clerk I on civil process duties
  • Handle all paperwork relating to foreclosures, return of warrants, body attachments.
  • All work related with tax notices, data entry, certified mailings, fees and billing
  • Distributing all jail order, sentencing order, DOC orders to Jail Supervisor daily.
  • Maintains working knowledge of law and documents for service and return process
  • Ensures proper paperwork and bonds are given to Circuit Clerk’s Office when necessary
  • Communicates with Clerical Supervisor and appropriate Sheriff’s patrol staff for all paper service, bond and petty cash
reimbursement
  • Support Civil Process Clerk, Clerk I when necessary
  • Crosstrain to learn duties of Civil Entry Clerk.
  • Perform related duties as assigned by Clerical Supervisor, Chief Deputy, Undersheriff and Sheriff
  • Maintain compliance with all departmental policies and procedures
  • Performs all job tasks within the rules and guidelines of the County’s Safety Policy and Procedure Manual


Education and/or Work Experience Requirements:

  • Two to three years practical experience in a clerical or records clerk position, preferred.
  • High School Diploma required.
  • Must be able to operate office equipment and have experience with Microsoft office programs.
  • Verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Capable of working independently with minimal direction.

This position requires sitting (5-8 hrs), standing/walking (1-3 hrs) and may experience occasional standing, walking, stooping,
kneeling, reaching, lifting, and Repetitive motion - use of the wrists, hands and fingers.

Defined as Sedentary Work – exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or
constantly to lift, carry, push, and pull of objects. Sedentary work involves sitting most of the time. Close visual acuity required to
perform activity such as preparing and analyzing data and figures; viewing a computer terminal.
