Duties
- Greet clients and visitors warmly, providing exceptional customer service and clear communication
- Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately
- Handle front desk responsibilities including scheduling appointments, confirming bookings, and maintaining the appointment calendar
- Perform data entry, filing, and document proofreading to ensure accurate record keeping
- Utilize Microsoft Office, Google Workspace, and other computer software for administrative tasks such as word processing and spreadsheets
- Support office management activities including inventory tracking.
- Assist with client communication through email correspondence and follow-up calls to enhance customer satisfaction
Qualifications
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette and the ability to handle multi-line phone systems confidently
- Bilingual abilities are highly desirable to serve a diverse clientele effectively
- Experience with QuickBooks or bookkeeping software is a plus
- Personal assistant or administrative experience involving calendar management, filing, proofreading, and client communication is advantageous
- Ability to work independently while maintaining attention to detail and time management
Qualifications:
- Previous experience working in an auto body shop or collision repair office is preferred.
- Experience with CCC ONE is highly preferred.
- Experience ordering automotive parts.
- Excellent customer service and communication skills.
- Strong organizational and multitasking abilities.
- Basic computer skills (Microsoft Office, email, etc.).
- Ability to work in a fast-paced environment.
- Bilingual (English/Spanish) is a plus.
