Law Firm Office Administrator for personal injury law firm in Englewood, Colorado.
Core Responsibilities:
- Office Operations & Facilities: Oversee day-to day functions, manage vendor contracts (IT, supplies, etc.), and ensure the office space is functional and professional; Renewal of Insurance Policies; Ordering of office supplies and inventory;
- Financial Management: Handle payroll, accounts payable/receivable, monitor bank matters and trust accounts, bank deposits, and client cost management; Banking and bookkeeping;
- Human Resources: Manage employee benefits, renewal of health benefits; track PTO;
- Technology Management: Implement and maintain legal practice management software (Quickbooks; FileVine; ADP payroll; Banking Websites; and other custom databases); Coordinate with IT third parties with cybersecurity protocols; Office equipment maintenance; Employee Technical Support.
- Compliance & Risk Management: Ensure Firm adheres to legal regulations; data privacy laws, and ethical standards, including document retention and professional liability insurance renewals;
Key Skills & Qualifications:
- Education: Bachelors degree in business administration, finance, or other applicable degree;
- Experience: 2-5 years of experience in legal services environment;
- Technical Proficiency: Advanced skills in Microsoft 365, accounting software, Microsoft Excel; and Microsoft Access Database; Legal practice management software experience (such as FileVine or Prevail), and time and billing software;
- Must excel at communicating with attorneys, staff, clients and external vendors; have the ability to identify issues, analyze root causes, and implement effective solutions; Attention to detail is a critical requirement.
