A growing company is seeking an Administrative Coordinator. This role will support the maintenance operations by managing vendor communications, documentation, and process efficiencies.
Job Responsibilities:
- Serve as the primary point of contact for outsourced vendors and service providers.
- Intake quotes, review work orders, and negotiate pricing or service details.
- Review all incoming work orders for accuracy, completeness, and compliance with company standards.
- Ensure proper documentation of repairs, inspections, and preventative maintenance services.
- Accurately enter and update maintenance data across internal systems and spreadsheets.
- Create and process pay orders, issue purchase orders, and route for higher-level approval when necessary.
- Use Excel and internal databases to track vehicle maintenance schedules, status updates, and cost summaries.
- Communicate directly with drivers, vendors, and managers to schedule repairs and confirm service completion.
- Work collaboratively with internal departments to ensure timely completion of maintenance requests.
- Prioritize and manage multiple work orders simultaneously in a fast-paced environment.
- Prior experience in project coordination, fleet maintenance support, or administrative operations preferred.
- Proficiency with Microsoft Office Suite, including Excel and Project.
- Comfortable working across multiple systems and managing large volumes of data and documentation.
