Job Summary
We are seeking a dynamic and highly organized Office Assistant to join our team. This vital role offers the opportunity to support daily office operations, enhance customer service experiences, and ensure smooth administrative workflows for our practice. The ideal candidate will be proactive and detail-oriented, with the ability to work independently and possess excellent communication skills.
Schedule: Monday – Friday, 8:30 am – 4:30 pm (Reliable attendance is required).
Responsibilities
- Client Communication: Communicate with clients to gather essential information and provide case updates and appointment reminders with professionalism and empathy.
- Data Entry & Records: Handle data entry tasks accurately using Microsoft Office and other office software to maintain organized electronic and physical records.
- Administrative Support: Provide comprehensive support including, but not limited to, copying, scanning, faxing documents, and managing incoming/outgoing mail.
- Phone Management: Professionally handle incoming phone calls and route inquiries to the appropriate team member.
Qualifications
- Education: High School Diploma required.
- Experience: While previous office experience is not necessary, the ideal candidate must demonstrate strong organizational and communicationskills and high attention to detail.
- Technical Skills: Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook), and strong data entry skills.
- Communication: Excellent customer service and communication skills with the ability to handle phone calls and prioritize tasks effectively.
- Efficiency: Strong typing skills along with time management capabilities to meet deadlines efficiently.

As a legal practice, Lance White Legal, LLC manages highly sensitive personal, medical, and financial information. Maintaining absolute privacy and confidentiality is a non-negotiable requirement of this position.
The successful candidate will be required to:
- Sign a Non-Disclosure and Confidentiality Agreement: As a condition of employment, you must sign a formal agreement promising to protect all proprietary firm information and client data.
- Adhere to Strict Privacy Protocols: Follow internal procedures regarding the handling of Personally Identifiable Information (PII) to ensure full compliance with federal privacy standards (HIPAA) and attorney-client privilege.
- Exercise High Discretion: Demonstrate exceptional judgment in all communications, ensuring that sensitive information is only shared with authorized parties.
Failure to uphold these standards is considered a serious breach of professional duty and may be grounds for immediate termination.
