Job Description:
JOB SUMMARY
This position acts as coordinator, liaison and point person for a portion of the Prothonotary Office.
Responsible for coordination of workflow and coverage as needed.
Trains new staff in coordination with Deputy Prothonotary.
Serves as primary support for other positions within their area of responsibility.
Provides support to Prothonotary and Deputy Prothonotaries as directed. Non-supervisory position.
REPORTING RELATIONSHIPS
Reports to Deputy Prothonotary
Responsible for coordination of workflow of their team, under the supervision of a Deputy Prothonotary
ESSENTIAL JOB FUNCTIONS
Coordinates staff members to ensure proper administration of duties.
Requires knowledge and cross-training of all clerical positions within their area of responsibility.
Must be able to perform all clerical functions in order to serve as primary trainer of new staff, as well as function as primary backup for other staff members.
Provides oversight to ensure accurate and timely entry of documents into docketing system and smooth flow of paperwork through the judicial system.
Ensures appropriate customer service being provided by clerical staff.
Addresses customer issues that escalate beyond other frontline clerical staff.
Acts as liaison between Prothonotary and outside parties involved in their area of responsibility.
Assists in developing and implementing policies and procedures to improved efficiencies within the office.
Serves as office point person for court wide programs, projects and committees.
This will involve direct contact with judges, judicial staff, Court Administration, attorneys, etc. and may require appearance in court. Assists the Prothonotary and Deputy Prothonotaries as directed.

Other assigned tasks as needed.
MINIMUM QUALIFICATIONS
High School Diploma or equivalent.
Five-plus years of office experience that includes team leader responsibilities and coordination between departments and outside agencies.
Experience in court-related operations preferred.
Any combination of equivalent education, training and experience
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of State and Local laws and ordinances.
Knowledge of State and Local Civil Rules of Court.
Ability to understand changes in the law and implement correlated changes in office policies and procedures.
Ability to coordinate between multiple agencies; ability to receive, process and disseminate info. between multiple parties.
Excellent organizational skills.
Strong attention to detail.
Ability to work independently and cooperatively.
Ability to communicate effectively and tactfully with the court and public in person or on the phone.
Ability to lead cooperatively with co-workers.
Ability to analyze situations accurately and pursue an effective course of action.
Ability to review documents, locate and analyze data, enter appropriate information accurately into the computer.
Ability to understand, develop, implement and oversee polices and procedures.
Ability to review correspondence and pleadings, analyze dispositions, perform simple math calculations, process requests and documents.
Ability to type/keyboard proficiently.
Competency in the operation of basic office equipment: computer, fax, copier, etc.
Ability to locate files within an organized filing system.
REQUIRED LICENSES/CERTIFICATIONS/CLEARANCES

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
Ability to transport dockets and indices weighing up to 25 lbs. to various locations in the courthouse.
Retrieve and accurately re-file documents in file folders on shelves ranging from 1 foot to 6 feet in height.
Ability to handle stressful situations tactfully and effectively.
