- Assist in conducting new hire orientation sessions.
- Coordinate purchasing and distribution of new hire gift sets; manage product/vendor relationships.
- Provide onboarding backup support as needed.
- Upload documents into HR document management systems and manage employment verification approvals.
- Compile subpoena documentation and respond to legal requests.
- Assist with employee recordkeeping and file management.
- Process all HR department-related invoices.
- Reconcile corporate cards and ledger code transactions.
- Submit manual check requests and support HR budget tracking across business units.
- Administer recognition programs, including point distribution, store launches, invoice processing, and reporting.
- Manage tenure awards program from data export to distribution and vendor coordination.
- Coordinate global recognition initiatives, including award submissions, evaluations, recognition items, and communications.
- Oversee quarterly recognition metrics and associated distributions.
- Provide support for all HR-related programs and services.
- Create internal flyers and visuals for events and HR communications.
- Edit and publish HR newsletters; gather content from business leaders.
- Coordinate logistics for annual HR team events.
- Maintain and update HR portals and internal communication platforms.
- Actively support HR-sponsored employee and community events.
- Manage employee discount agreements and post updates on HR platforms.
- Track and process tuition reimbursement applications.
- Organize team activities and related logistics.
- Manage calendars for HR leadership, including scheduling and prioritizing meetings.
- Coordinate internal meetings, prepare agendas, and ensure follow-up on action items.
- Arrange travel and accommodations for HR leadership as needed.
- Support preparation of presentations and reports for leadership meetings.
- Respond to and route HR inbox requests.
- Complete employment verifications and provide instructions for verification services.
- Manage business card orders and respond to service requests.
- Support ongoing ad hoc HR projects as needed.
- Bachelor’s degree in human resources, Business Administration, or another relevant field preferred.
- At least 2 years of previous Human Resources experience.
- At least 1 year of previous administrative support.
- Excellent written and verbal communication skills.
- Strong presentation skills, organizational skills, attention to detail & analytical skills.
- Ability to generate innovative and creative solutions and trending reports.
- Ability to prioritize and multitask.
- Experience managing calendars and coordinating meetings for leadership.
- Familiarity with HRIS and document management systems.
- Ability to coordinate travel and event logistics.
- Experience working with vendors and managing service agreements.
- Proficiency in virtual collaboration tools (Teams, Zoom).
- Familiarity with benefits, leave, and the corporate wellness industry.
- Proficient with Microsoft Word, Excel, and Outlook.
- Maintains absolute confidentiality and integrity of all Human Resources functions.
- SHRM CP/SCP or PHR/SPHR, preferred.
