The Benefits & Leave Specialist is responsible for administering employee benefits programs and coordinating the company’s leave of absence, disability, workplace accommodation, and workers’ compensation programs.

The Benefits & Leave Specialist is responsible for administering employee benefits programs and coordinating the company’s leave of absence, disability, workplace accommodation, and workers’ compensation programs.

Responsibilities
- Administer employee benefits, including health, dental, vision, retirement, and wellness programs.
- Coordinate all employee leave programs (FMLA, ADA, parental, medical, and other statutory or company-sponsored leaves).
- Ensure compliance with federal, state, and local leave regulations and maintain accurate, confidential records.
- Conduct new-hire benefits orientations and deliver ongoing education on benefit offerings and leave policies.
- Resolve employee inquiries, troubleshoot benefit and leave-related issues, and escalate complex matters as appropriate.
- Support annual open enrollment and assist with benefits’ communication and documentation.
- Oversee collection and maintenance of summary plan descriptions, benefit summaries, insurance certificates, and other plan documents.
- Coordinate wellness initiatives such as health fairs, biometric screenings, and immunization events.
- Stay current on benefits legislation topics, compliance requirements, industry standards, trends, and best practices (update processes as needed)
- Update benefits content on the company intranet, including plan documents, guides, flyers, and corporate discount information.
- Track employee discounts, ensure accuracy, and coordinate renewals with participating vendors.
- Collaborate with Payroll, HR, and management to process leave and ensure accurate pay and benefits continuation.
- Partner with Payroll and third-party disability administrators to ensure timely, accurate reporting and claims processing.
- Maintain strict confidentiality of employee health information and ensure HIPAA compliance.
- Collaborate with HR Business Partners, managers, and Payroll on leave- and disability-related matters.
- Respond to complex leave-of-absence inquiries in a timely, customer-focused manner.
- Track leave-designated hours and certification deadlines to ensure compliance with all applicable laws.
- Facilitate the workers’ compensation process.
- Partner with the Benefit & Leave Manager, SVP, HR, and Operations to review and facilitate ergonomic equipment requests.
- Perform other projects and responsibilities as assigned.
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 2-3 years of experience in benefits administration with a solid background in leave management.
- Thorough understanding of FMLA, ADA, and other leave-related compliance requirements.
- Experience with HRIS and benefits management systems; proficiency in Microsoft Office Suite.
- Excellent verbal and written communication skills.
- Strong attention to detail, organizational, and time-management abilities.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Customer service orientation and ability to work effectively with employees at all levels.
- Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
- Strong organizational skills and attention to detail.
- Ability to prioritize and multitask.
