Job Summary
We are seeking a dynamic and organized Receptionist. In this vital role, you will manage front desk operations, handle phone systems, and provide exceptional customer service to callers. Your proactive approach and strong organizational skills will ensure smooth office management and support the overall efficiency of our team. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a positive and professional environment. We are also interested in an inrern as well. You will be deaing with consumers maily via phone they do not really come to the office.
Duties
- Manage phones with professionalism, demonstrating excellent phone etiquette
- Maintain a clean, organized front desk area and ensure all office supplies are stocked
- Perform data entry tasks accurately using Microsoft Office, Quick Books
- Assist with scheduling appointments, calendar management,
- Support office management tasks such as filing, proofreading documents, and managing correspondence
- Provide customer support by addressing inquiries promptly and courteously over the phone
- Conduct basic bookkeeping tasks using QuickBooks
- Support administrative functions including copying, scanning, and maintaining records with attention to detailExperience
- Previous office or clerical experience in a professional environment is preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Outlook)
- demonstrating excellent phone etiquette
- Bilingual abilities are a plus but not a requirment
- Familiarity with office management procedures such as filing systems, data entry, and calendar management
- Proven organizational skills with the ability to prioritize tasks efficiently
- Experience in customer service roles that require clear communication and problem-solving skills but also open to interns
- Knowledge of receptionist duties is advantageous but not required
- Personal assistant experience or familiarity with bookkeeping can enhance your candidacy
