Lake Regional Health System is seeking an Administrative Assistant to join our Administrative team at our hospital campus located in the beautiful Lake of the Ozarks area. Key Responsibilities
- Perform a wide variety of administrative duties as required by daily operations in the LRMG Administration and Director of Physician Services.
- Coordinate office activities and schedules; develop and recommend office procedures; ensure smooth office operations.
- Receive and distribute incoming mail; review and evaluate mail to identify whom it goes to.
- Prepare and process check requests, invoices, P.O.’s – proof and code for Associate VP and Director of Physician Services.
- Independently draft letters, memos and agendas.
- Make travel arrangements for incoming candidates for site visits; maintain appointment schedules and calendars for the Associate VP and Director of Physician Services; arrange meetings, conference room scheduling – speakerphone / video conference, arrange food/meals, prepare agenda packets.
- Attend Physician Advisory Committee, LRMM Admin, Division Meeting, to take minutes, convert to text, and distribute as directed.
- Organizing own work, coordinating projects, setting up interviews, meetings with vendors (screened), setting priorities, meeting deadlines and following up on assignments with a minimum of direction.
- Prepare Job Req’s and Employee Status Forms (if not already prepared). Once completed, scan and forward to H.R. as well as ensuring annual evaluations are scanned in and forwarded to H.R.
- Collaborative Agreements – prepare, forward to Physician and APP for signature and reference. Once received back, prepare letters for CBO and all Pharmacies in the area notifying them of the APP’s collaboration. A similar process is done when the agreement is terminated.
- Process Physician Agreements, APP Agreements and various contracts, once signed by all parties’ process and forward to all appropriate departments.
Qualifications
- High School Diploma or equivalent required
- Strong analytical/problem-solving skills
- Ability to communicate effectively and professionally with patients, providers and staff, both intra and interdepartmental
- Efficient use of Microsoft products
- An annual influenza vaccine required.
