Administrative and Gatehouse Support Staff (Live-On-Site Position)
Location: Lake Pillsbury Ranch Community, Mendocino National Forest
Compensation: Part time. $20-28 per hour DOE
Position Overview
This unique live-on-site position combines front gate duties with administrative support for the Board of Directors, offering free lodging. This role is ideal for someone with strong administrative skills and who takes pride in keeping a community running smoothly.
Key Responsibilities
Gatehouse Duties
- Monitor and manage community gate access
- Greet and assist property owners, guests, vendors, inspectors, and contractors
- Issue and document gate cards and codes via the DoorKing system
- Provide maps, directions, and community information as needed
- Respond to emergency situations appropriately and assist emergency services (e.g., Fire Dept.)
- Monitors for unauthorized entry and report to Security Committee
- Maintain presence and availability during agreed-upon gatehouse hours
Administrative Duties
- Prepare and distribute newsletters, flyers, and official correspondence
- Attend Board meetings and record minutes
- Maintain records, files, and compliance with LPPOA CC&Rs
- Manage emails, phone calls, and member communications
- Sell materials (e.g., gate cards, CC&R booklets, permits, maps) and track transactions
- Coordinate with the Bookkeeper and provide updated member information
- Assist the Architectural Committee with packet tracking and communications
- Keep office, kiosk, and bulletin boards clean and current
- Support LPPOA events and ensure office is meeting-ready
- Provide agendas, board packets, and reports as needed
- Manage supplies, including ordering and inventory
- Maintain updated logs of dues, deeds, contact changes, and transactions
- Maintain confidentiality and professional communication at all times
- Be familiar with and uphold LPPOA rules, regulations, and CC&Rs
- Attend monthly meetings and provide accurate reports and documentation
- Support Board Members and Committee Chairs as directed
- Keep accurate records of time, communications, and transactions
- Actively support safety, community engagement, and a positive residential experience
Qualifications
- Strong organizational and administrative skills
- Effective oral and written communication
- Excellent computer skills
- Able to work independently and handle sensitive information with discretion
- Friendly, approachable, and professional demeanor
- Comfort with living in a remote, forested area
- Experience in property management, customer service, or clerical work a plus
