Position Title: Activity Director
Reports To: Superintendent
Pay Scale: Dependent on Education and Experience $52,500 - $72,000
Position Summary:
The Activities Director provides leadership, organization, supervision, and evaluation of the district\'s extracurricular and co-curricular programs. The position is responsible for overseeing athletics, fine arts activities, student clubs, transportation coordination for activities, and the management of activity-related facilities and grounds, including athletic fields, gyms, and theater spaces. The Activities Director works collaboratively with students, staff, families, coaches, advisors, and community members to promote positive student experiences and school pride.
Essential Duties and Responsibilities Include
Activities and Program Leadership
- Coordinate and oversee all district extracurricular and co-curricular programs.
- Supervise athletic programs, fine arts activities, clubs, and student organizations.
- Develop schedules for games, practices, performances, tournaments, and events.
- Ensure compliance with district policies and applicable state and league regulations.
- Promote positive sportsmanship, student leadership, and academic success.
- Assist in hiring, supervising, mentoring, and evaluating coaches and activity advisors.
- Organize student recognition programs, awards, and special events.
- Attend and supervise school activities and events as needed.
Transportation Coordination
- Coordinate transportation for extracurricular activities, including athletic contests, performances, and student events.
- Work with transportation staff and administration to schedule buses, drivers, and travel logistics.
- Ensure transportation requests are submitted accurately and within established timelines.
- Communicate travel schedules and changes with coaches, advisors, families, and staff.
- Monitor transportation costs and assist with budget planning related to activities travel.
Building and Grounds Oversight
- Assist with the scheduling, supervision, and maintenance coordination of activity facilities, including:
- Athletic fields
- Gymnasiums
- Weight rooms
- Locker rooms
- Auditoriums and theater spaces
- Work collaboratively with custodial and maintenance staff to ensure facilities are safe, clean, and prepared for events.
- Coordinate field preparation and facility setup for games, tournaments, performances, and community events.
- Monitor facility needs and communicates repair or improvement recommendations to administration.
- Support long-range planning related to activity facilities and ground improvements.
Communication and Community Relations
- Maintain effective communication with students, families, staff, officials, community members, and media.
- Promote district activities through newsletters, social media, school communication platforms, and community outreach.
- Develop positive relationships with community organizations and booster clubs.
- Coordinate summer recreational activities as well as camps and/or activities.
- Address concerns and resolve conflicts in a professional and timely manner.
Budget and Administrative Responsibilities
- Assist in developing and managing the activities budget.
- Monitor expenditures related to activities, transportation, and facility usage.
- Maintain accurate records, schedules, eligibility information, and event documentation.
- Coordinate contracts for officials, event workers, and transportation services.
- Ensure proper game management procedures and event supervision.
Other Duties as Assigned
Qualifications
- Bachelor\'s degree in education, sports management, administration, or related field preferred.
- Valid Minnesota preferred teaching or administrative licensure.
- Experience in coaching, activities leadership, school administration, or related areas preferred.
- Knowledge of school activities programs, transportation coordination, and facility management.
- Strong organizational, communication, leadership, and problem-solving skills.
- Ability to work flexible hours, including evenings and weekends.
Physical Requirements
- Ability to move throughout school facilities and outdoor activity areas.
- Ability to lift and carry equipment as needed.
- Ability to attend evening and weekend events regularly.
Terms of Employment
- Salary and contract length determined by the school board and superintendent.
- Additional evening and weekend responsibilities are required.
Evaluation
Performance of this position will be evaluated annually by the Superintendent in accordance with district policies and procedures. (3 times per year)
