POSITION OVERVIEW:
Lake Area Technical College (LATC) is seeking a highly organized, service-oriented, and detail-focused Office Assistant to support academic programs and contribute to the success of students, faculty, and staff. This position provides administrative and operational support across assigned academic departments, helping ensure efficient daily operations and exceptional customer service.
The ideal candidate will be proactive, adaptable, and comfortable managing multiple priorities in a fast-paced educational environment. This individual will serve as a key point of contact for students, faculty, and external partners while assisting with scheduling, communications, records management, purchasing, event coordination, and general office support for programs of study.
QUALIFICATIONS:
- Administrative support, office management, or customer service experience.

REPORTS TO: Assigned academic leadership, which may include a Dean, Department Supervisor, Center Director, Vice President, or other designated administrator.
PERFORMANCE RESPONSIBILITIES:
- Provide day-to-day administrative support for assigned academic programs, faculty, and supervisors.
- Answer phones, greet visitors, and respond to inquiries from students, faculty, staff, and external stakeholders in a professional and welcoming manner.
- Manage calendars, schedule meetings, reserve rooms, and coordinate appointments.
- Prepare, edit, and distribute correspondence, reports, forms, presentations, and other documents.
- Maintain accurate electronic and physical filing systems.
- Assist with course scheduling, classroom logistics, and coordination of academic activities.
- Support faculty with administrative tasks, including copying, materials preparation, and supply management.
- Help track program documentation, accreditation materials, and departmental records.
- Coordinate student-related paperwork, communications, and academic program forms.
- Assist with onboarding and administrative processes for adjunct instructors or new faculty as needed.
- Serve as a resource for students by helping direct them to appropriate campus services and answering general program questions.
- Support communication between students, faculty, and departments.
- Assist with organizing student events, orientations, advisory meetings, and special academic activities.
- Enter and maintain accurate data in institutional software systems and databases.
- Monitor and update spreadsheets, reports, and departmental records.
- Ensure confidentiality and compliance with FERPA and institutional policies regarding student records.
- Assist with ordering office and instructional supplies.
- Track purchases, invoices, and budget-related documentation.
- Coordinate vendor communication and reimbursement paperwork as needed.
- Help coordinate departmental meetings, advisory committee meetings, campus visits, and special events.
- Support project timelines and follow up on assigned tasks.
- Collaborate with other campus departments to support academic initiatives.
- Participate in departmental and campus meetings as assigned.
- Support continuous improvement efforts and contribute to a positive team environment.
- Perform other duties as assigned to support academic program operations.
WAGE RANGE: $2,755.00/month - $16.25/hour
TERMS OF EMPLOYMENT: 12-month contract with compensation set by the Watertown School Board.
