Incumbent serves as Prosecuting Attorney File Clerk and IV-D Assistant for the LaGrange County Prosecutor’s Office, responsible for ensuring proper preparation, establishment, and enforcement of child support orders and providing clerical support to Department personnel along with being responsible for providing administrative assistance to Prosecutor, Chief Deputy and Deputy Prosecuting Attorneys.

DUTIES:

1. Operates Indiana State Enforcement Tracking System (ISETS), entering, tracking, and updating case management and financial data. Conducts case research, prepares documents, and enters and maintains various schedules. Reviews, assesses, and performs necessary duties that arise from individual daily work lists on ISETS.

2. Enters a variety of information in designated computer system.
3. Prepares and files various documents with the Court, such as pleadings, petitions, orders, and summons.

4. Calculates current child support and arrearages, mailing notices to non-payers and/or issuing income-withholding orders to income providers and financial institutions as necessary.

5. Assists in locating absent parents, including initiating parent locator services and postmaster letters. Researches employment and income verification, including sending employer letters and social security letters to verify income or disability.

6. Answers telephone and greets office visitors, responding to inquiries, providing information and assistance, taking messages and/or directing calls to appropriate individual or department.

7. Performs a variety of administrative support duties, including, but not limited to, preparing correspondence, scheduling appointments, maintaining/updating files, and processing mail.

8. Sorts, scans and processes Chronological Case Summary (CCS) entries in computer and calendar.

9. Performs a variety of clerical tasks, including, but not limited to, preparing correspondence, scheduling appointments, scanning, maintaining/updating/retrieving files for Court, and sorting/distributing incoming mail and delivering outgoing mail to Post Office.

10. Occasionally provides testimony in legal proceedings/court.
11. Performs related duties as assigned.

I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:

1. High school diploma or equivalency.
2. Ability to meet all Department hiring requirements, including passage of a drug test.
3. Basic knowledge of and ability after training to make practical application of Title IV-D policies and procedures, the Court system, and related legal terminology and requirements. Ability to properly operate ISETS computer system with training.

4. Working knowledge of standard office procedures and computer software programs used by the Prosecutor’s Office, with ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.

5. Working knowledge of standard office policies and procedures and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.

6. Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence, documents and written reports as required.

7. Knowledge of standard filing systems and ability to create and maintain Department files.
8. Ability to properly operate standard office equipment, such as computer, typewriter, calculator telephone, copier, and fax machine.

9. Ability to effectively communicate orally and in writing, with co-workers, other County departments, Welfare, Child Protective Services, personnel from various state agencies, Bureau of Motor Vehicles (BMV) and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

10. Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.

11. Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

12. Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.

13. Ability to compute/perform arithmetic operations, such as calculating child support arrearages and determining income and wage withholdings.

14. Ability to compile, analyze, and evaluate data, make determinations, and present findings in oral or written form.

15. Ability to understand, memorize, retain, and carry out oral and written instructions.
16. Ability to work alone with minimum supervision and with others in a team environment, often amidst frequent distractions and interruptions, and under pressure from formal schedules, deadlines and high volume operations.

17. Ability to plan/layout assigned work projects and read/interpret detailed court orders and documents.

18. Ability to provide testimony in legal proceedings/court.
19. Ability to occasionally travel out of town for meetings/conferences, sometimes overnight.

II. RESPONSIBILITY:

Incumbent performs duties according to a flexible, customary routine and standard Department policies and practices, with priorities primarily determined by supervisor. Assignments are guided by definite objectives using a variety of methods or procedures, with incumbent referring to supervisor for unusual matters, such as policy interpretations. Periodically, decisions are made in the absence of specific policies and/or guidance from supervisor. Work errors are primarily detected or prevented through procedural safeguards and prior instructions from supervisor. Undetected errors could result in loss of time to correct error and/or loss of money to the Department.

III. PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, Welfare,

Child Protective Services, personnel from various state agencies, BMV, and the public for purposes of exchanging information, rendering service, and resolving discrepancies.

Incumbent reports directly to the Prosecuting Attorney.

IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment, involving sitting/walking at will, sitting for long periods, keyboarding, lifting/carrying objects weighing under 25 pounds, bending, close vision, speaking clearly, and hearing sounds/communication. Incumbent maintains considerable contact with the public and may be exposed to irate/hostile persons.

Incumbent occasionally travels out of town for meetings/conferences, sometimes overnight.

Job Type: Full-time

Pay: Up to $23.11 per hour
