We are looking for a full time advisor. Pay dependent on experience.
Position Information: The Service Advisor is responsible for scheduling service work in the service department, selling additional needed service work to customers, billing out service work, providing written estimates of repair for customers, and explaining bills and work performed to customers. Primary objectives include assuring customer satisfaction and retention, assuring vehicles are fixed on the first visit, and keeping technicians productive.
Duties and Responsibilities:
- Greet customers in a swift, courteous and professional manner.
- Listen to the customer's primary concern and write up repair order with clear instructions for technician.
- Review vehicle service history with customer and check vehicle for recall and warranty information.
- Conduct a thorough walk around inspection of the vehicle starting with lights on, tire tread depth, under hood vital fluid levels and condition.
- Review manufacturer maintenance schedule with customer and make recommendations on vehicle care and maintenance with customer.
- Determine a promise of completion time for customer and Inform customer of vehicle status throughout the day.
- Answer telephone with courtesy and tact and provide assistance to customers including scheduling service appointments. Appointments require attainment of customer and vehicle data along with customer concerns and requests.
- Schedule customer appointments using dealership approved methods, forms, and policies.
- Obtain complete and accurate customer and vehicle information data.
- Follow-up progress of each repair order during the day. Contact customers by telephone regarding any changes in the estimate or time promised.
- Verify customer complaints by either test driving the vehicle with the customer or referring to a technician to test drive with customer.
- Determine proper billing for each job on each repair order, customer, warranty, service contract, internal departments, etc. Determine proper parts and labor amounts for each job that corresponds to each billing.
- Obtain customers signature on repair order at time of repair order write up and provide customer with a copy upon completion of work.
- Provide estimates for labor and parts. If the cost of service cannot be established during reception, leave open and contact the customer later, by phone, for approval. Document approval.
- Whenever additional work is necessary explain the details to the customer and include time and cost considerations.
- Make a professional delivery of the vehicle back to the customer with a clear explanation of all repairs and charges.
- Be responsible for quality control, to ensure that work is completed as requested and to reduce comebacks. Test-drive vehicles to quality check as necessary.
- Maintain good working relationships with customers to encourage repeat and referral business. Realize that business is built on customer satisfaction and devote him/herself to guaranteeing satisfaction to customers.
- Respond to customer and technician concerns in a timely manner.
- Study and follow operating procedures and policies as outlined in the "Service Advisor Responsibilities" manual.
- Attend Monthly Department Meetings to discuss department goals, concerns, etc.
- Maintain Customer Satisfaction Index ratings at least comparable to that of manufacturer zone average for dealerships of like size.
- Understand and follow federal, state, and local regulations such as those governing the disposal of hazardous wastes, OSHA Right To Know, etc..
Supervisory Responsibilities:
- Monitor, update, and invoice all completed repair orders on a daily basis before ending work shift.
- Accountable for all repair orders originated by yourself.
Qualifications: High school diploma or the equivalent. Ability to read and comprehend instructions and information. General knowledge of vehicle mechanical operations. Sales experience or customer relations experience preferred. Professional personal appearance. Excellent oral and written communication skills. Telephone skills. Ability to communicate effectively and ability to handle difficult customer situations. Valid driver license. Experience in auto repair industry is preferred.
Working Conditions: The Service Advisor works in the service write-up area, which is adjacent to the main garage. The position requires stooping, bending, moving throughout the service department, and transferring vehicles in and out of the building. May lift up to fifty pounds occasionally. Works with service customers for most of the shift. Will work with computers and printers. S/he will be exposed to noise, vibration, dust, exhaust fumes, and other hazardous and non hazardous materials. Road testing of vehicles may be required during business hours. Work hours beginning 7:30am to 5pm during weekdays. Saturday hours are 8a.m. to 1p.m.. Full time position works 40-45 hours per week but we are also looking at options for a part time position.
