Onboarding Support SpecialistPosition OverviewThe Support Services Specialist plays a critical role in ensuring accurate payroll processing, onboarding compliance, employee support, and various administrative functions within the organization. This position requires strong attention to detail, excellent communication skills, and the ability to maintain confidentiality while managing sensitive employee data. The Support Services Specialist supports both field and corporate teams by providing timely and accurate information related to payroll, benefits, compliance, and employee records.Key ResponsibilitiesPayroll Processing & Timekeeping· Review timecards, work schedules, wage calculations, and daily reports to identify and resolve payroll discrepancies. · Process and issue employee pay, earnings statements, and deduction summaries.· Compute wages, deductions, and adjustments, ensuring accurate entry into the payroll system.· Audit onboarding data for new hires and correct errors before payroll runs.· Verify attendance, hours worked, and pay adjustments, update records accordingly.· Issue and record payroll corrections, retroactive pay, and adjustments.· Keep daily oversight of timekeeping systems to ensure accurate time capture.· Assist with weekly and bi-weekly payroll processing.· Research, troubleshoot, and resolve payroll issues.· Respond to external unemployment claims via NSN.· Process wage garnishments for weekly and bi-weekly payroll.· Maintain Schedule Rollovers for relevant departments.· Provide payroll-related information and support to employees and managers.Employee Records & Onboarding· Record and maintain employee information, including exemptions, transfers, terminations, and resignations.· Process and verify all new hire and rehire onboarding paperwork such as I-9 verifications, drug tests, and background checks.· Send welcome emails to new team members.· Coordinate required training and certifications for new and rehired employees.· Conduct verification of employment requests.· Maintain confidentiality and protect sensitive employee information.Benefits Administration & Compliance· Maintain knowledge of federal, state, and local tax laws and deduction regulations impacting payroll.· Complete, verify, and process benefits-related forms, such as pension plans, unemployment filings, and medical insurance documentation.· Track employee leave (PTO, FMLA, LOA) and ensure accurate records.· Work with Insurance Broker to maintain accurate recordsEmployee Support & Customer Service· Provide timely assistance to employees and managers via phone or email regarding payroll, benefits, and related matters.· Support resolution of employee concerns regarding pay, timekeeping, benefits, and general HR inquiries.· Process disciplinary action reporting using the Point System and communicate relevant updates to field management.Programs, Documentation & Administrative Support· Maintain departmental Standard Operating Procedures (SOPs).· Oversee employee recognition programs such as the Helping Hands Program and Above & Beyond Awards.· Perform general clerical duties with a high level of accuracy and attention to detail.· Support ongoing improvements and administrative projects as assigned.Qualifications· Experience in payroll, onboarding or related administrative role preferred.· Strong understanding of payroll principles, deductions, and compliance regulations.· Proficient in timekeeping and payroll systems (specific system experience a plus).· Excellent attention to detail with strong analytical and problem-solving skiLACOSTA Facility Support Services, a minority owned business contractor, has been delivering quality facility services for more than 32 years, helping customers achieve and maintain safe, clean, and efficient environments.
