We are seeking a dynamic and highly organized Secretary to join our team! Duties

  • Manage front desk responsibilities, including greeting visitors and directing them appropriately
  • Handle multi-line phone systems with professionalism, ensuring clear and courteous communication
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Coordinate calendar management and schedule appointments for executives or team members
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative tasks
  • Assist with bookkeeping, invoicing, and basic financial record keeping as needed
  • Provide excellent customer support by addressing inquiries promptly and courteously
  • Support office management activities by organizing supplies, maintaining cleanliness, and overseeing clerical functions

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
  • Experience with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong phone etiquette skills and experience managing multi-line phone systems
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Previous experience as a receptionist or personal assistant is preferred, especially in medical or dental settings
  • Demonstrated ability to handle confidential information discreetly and professionally
  • Exceptional time management skills with the ability to multitask efficiently
