Duties
- Manage front desk responsibilities, including greeting visitors and directing them appropriately
- Handle multi-line phone systems with professionalism, ensuring clear and courteous communication
- Perform data entry, filing, and document proofreading to maintain accurate records
- Coordinate calendar management and schedule appointments for executives or team members
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative tasks
- Assist with bookkeeping, invoicing, and basic financial record keeping as needed
- Provide excellent customer support by addressing inquiries promptly and courteously
- Support office management activities by organizing supplies, maintaining cleanliness, and overseeing clerical functions
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong phone etiquette skills and experience managing multi-line phone systems
- Bilingual abilities are a plus to serve diverse client needs effectively
- Previous experience as a receptionist or personal assistant is preferred, especially in medical or dental settings
