Administrative Assistant (DE Office) Job Description
FLSA Status: Non-Exempt
Reports to: Partner
Hours: 9:00am to 5:00pm with flexibility for overtime
Prestigious Plaintiffs’ law firm seeks Administrative Assistant for our Delaware Office partners and other senior attorneys. Candidate must possess strong organizational and excellent communication skills, perform bookkeeping tasks, be proactive and proficient in completing daily, week, monthly, and yearly tasks as required, work very well with fellow employees, and ensure smooth daily operations. This position is a five-day a week in-office role.
Job Requirements:
- Frequent communications with the firm’s accounting department;
- Payment of invoices for administrative court costs, court reporters, and other local vendors;
- Prepare check requests for payment of larger invoices, including confirmation of wiring instructions;
- On-boarding new employees and executing checklist when an employee joins the office;
- Assist with budget increase requests for active cases;
- Act as liaison on behalf of office with the building’s management and engineer; and
- Maintain the office and kitchen supplies inventory.
- Must display professionalism and integrity, and maintain the highest ethical standards and confidentiality;
- Must be reliable and punctual;
- Must pay close attention to detail and understand written & oral instructions;
- Must be pro-active and highly organized and efficient with the ability to multitask and prioritize multiple time-sensitive projects, and complete those projects on a timely basis;
- Must have excellent written and verbal communication skills, including command of English usage, spelling, grammar, punctuation, and report & letter writing skills.
- Must have ability to effectively & tactfully communicate in a polished and professional manner with persons on all levels, whether in person, over email, or by phone.
- Assimilate unfamiliar issues rapidly and anticipate/resolve potential problems.
Law firm experience is not required.
