Responsibilities
- Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and valued.
- Manage multi-line phone systems with excellent phone etiquette, directing calls accurately and efficiently.
- Handle incoming correspondence, emails, and inquiries using computer literacy skills in Microsoft Office, Google Workspace, and other office software.
- Maintain organized filing systems, data entry records, and documentation with precision and attention to detail.
- Support office management tasks such as calendar management, appointment scheduling, and proofing documents for accuracy.
- Assist with clerical duties including photocopying, faxing, proofreading materials, and preparing reports or presentations.
- Provide customer support by addressing inquiries promptly and professionally while maintaining a friendly demeanor.
- Checking in guests into the PMS system
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools.
- Prior experience working at a front desk or reception area is highly preferred.
- Strong customer service skills with the ability to handle multiple phone lines using multi-line phone systems confidently.
- Knowledge of office management practices such as filing systems, calendar management, and bookkeeping is advantageous.
