Position Overview
La Foret Conference and Retreat Center is seeking a professional, welcoming, and highly organized Guest Services Associate to serve as a key first point of contact for guests, group leaders, and visitors. This role combines front desk presence, guest communication, reservations coordination, reporting, and basic administrative support in a hospitality-centered environment. The position should present a polished and friendly front desk presence while communicating clearly and professionally by phone, email, and in person.
Key Responsibilities
- Welcome guests, visitors, and group contacts with a professional and courteous front desk presence, creating a positive first impression for La Foret Conference and Retreat Center.
- Answer and return phone calls, respond to emails, and assist in-person guests in a timely, warm, and professional manner.
- Schedule and conduct site tours for prospective groups and guests.
- Prepare contracts for site reservations and monitor follow-through on agreed arrangements.
- Coordinate setup requirements and group needs, then communicate details clearly to the hospitality team to support smooth execution of events and stays.
- Maintain reservation systems with accuracy and integrity, including calendars, reports, and reservation updates.
- Support accounts receivable processes, including deposits, billings, final payments, and accurate records for bookkeeper communication.
- Track checks received, deposits made, and reservation status changes with a high level of detail and confidentiality.
- Support the Executive Director and assist with other guest services duties as assigned.
Required Qualifications
- High school diploma or equivalent required.
- At least one year of customer service experience required.
- Two years of combined experience in guest services, hospitality coordination, reservations, sales support, or related administrative work preferred.
- Strong verbal and written communication skills, with the ability to communicate effectively by phone, email, and in person.
- Demonstrated ability to maintain a strong front desk presence, remain composed under pressure, and provide excellent hospitality to guests and group contacts.
- Proficiency in Microsoft Office, especially Excel and Word, with the ability to create, update, and manage reports and records efficiently.
- Comfort using AI tools to improve efficiency, communication drafts, scheduling support, data organization, or administrative workflows; experience with modern workplace AI tools is preferred.
- Ability to work independently and collaboratively within a team.
- Valid Colorado driver's license and good driving record required.
Schedule Expectations
This position requires regular in-person work and the ability to work one weekend per month as part of the normal schedule.
Pay: $17.00 - $18.00 per hour
