The Annual Giving Coordinator works in partnership with the Development Director and the Chief Partnership Officer to help La Clinica advance its mission and vision. They do so by supporting the work of identifying, cultivating, soliciting, and stewarding donors to maximize philanthropic support to La Clinica. Annual work plans and goals will be assigned in the annual development plan and reflected in the Goal Setting and Performance Review process. While the intention is to create focus, clarity, and specific role outcomes, other duties may be assigned dependent on the needs of the organization.
Job Responsibilities include:
Work with the Development Director annually:
- To establish annual goals for annual giving that align with organizational strategy.
- To create a donor portfolio that matches abilities, experience, and organizational needs.
- To reach agreements on routine reporting on progress and outcomes, providing improvement strategies if targets are not met.
Annual Giving & Stewardship Management
- Plan, implement, and evaluate La Clinica’s annual giving program, focusing on increasing giving from new donors and existing community partners.
- Research all donors between $50 and $1,000to design and execute stewardship plans that are unique to each donor.
- Design and execute the annual giving calendar, including appeals, digital campaigns, crowdfunding, and other approved strategies.
- Work with the Development Director to identify donors who have additional giving capacity for deeper cultivation that will lead to increased giving
- Assist in designing donor CRM reports that segment donors for appeals and other projects.
- Work with Development Director to research, design, and execute giving societies and donor experiences that deepen donor’s connection to La Clinica’s mission
- Recommend, monitor, and evaluate performance on Key Performance Indicators associated with annual giving, such as, actuals to goals, donor acquisition, retention rates, and return on investment for appeals and other projects.
- Report quarterly on outcomes, adjusting those goals as appropriate
Administration Support
- Support the development team with project design, community partner engagement strategy deployment, and meeting support (scheduling, securing meeting documentation and refreshments, and note taking).
- Support the development team’s decision and project information sharing processes.
Gratitude Program
- Work with the Development Director, Communications Officer, and other team members to design and execute gratitude program overseeing recognition of gifts (official letters and other forms); campaign reports; holiday, birthday, and memorable recognition; and donor recognition events.
- Serve as a link between communications and development to ensuretimelyandaccurateorganization-wide communication to charitable partners that match their expressed wishes.
Events
- Lead solicitation and engagement of event sponsors, and ensure that corporate, individual, municipal and foundation key contacts are invited to events.
- Work withthe Development Director,Development Team, Chief Partnership Officer,and Communications Officertodeterminethe strategy, purpose, and vision for all donorand communityfocusedevents, resulting in an approved event plan.
- Work withthe Development Director andother staff, includingcontracted staff,to execute the approved event plan and developlogisticsand management of events (venue, meals, media, games, volunteers, etc.).
- Ensure alignment with Gratitude Programdata gathering and otherinformation needs.
Data Entry and Reporting
- Track all Annual Giving Partners and related Community Engagement work in Raisers Edge(donor CRM)according to approved procedures.
- Complete monthly progress report andsubmitit on time.
Supervision: None
General duties for all Development Coordinators:
- Communicate information with team members to ensure coordination across areas of focus.
- Complete assignedtrainingvia La Clinica’s learning module system (Relias) by required due date.
- Assistdevelopment team members to maximize giving from other areas of focus, as needed.
Key Performance Indicator Responsibilities: Ensure the following:
- La Clinica will meet or exceed its annual growth goals and fiscal year revenue projections.
- The Development team meets or exceeds its fiscal year fundraising goals.
- The Development team meets or exceeds its annual donor satisfaction goals.
- The Development team will ensure that 100% of donor CRM records haveaccurateinformation, including notes from cultivation activity, stewardship documentation (including recognition), and specific gift details.
Fundraising Ethics:
- Obey all laws, rules, and regulations.
- Protect donor privacy and confidentiality.
- Ensure that donor gift restrictions are honored.
- Follow all gift acceptance policies and procedures.
- Protect that donors do not have inappropriate influence over programs and activities or receive inappropriate benefits from La Clinica in exchange for their donations.
- Maintain professional boundaries with donors.
Qualifications:
Must be able to interact with a variety of individuals at various levels under stressful circumstances while exercising sound judgement, tact, and diplomacy; work productively both independently and in a team setting; communicate with clarity, both verbally and in writing to groups and individuals.
Education and/or Experience:
Required:
- Minimum: High School Diploma
- Twotothreeyears of experience in corporate cultivation/fundraising and/or communications/marketing
- Excellent interpersonal communication and problem-solving skills
Preferred:
- Bachelor’s degree in related fields
- Experience working collaboratively with a team to plan events and community activities
