Position Overview
As the Legal Assistant, you'll work closely with the attorney to support all aspects of the estate planning process - from client communication and document preparation to file management and scheduling. This is an ideal role for someone who values precision, enjoys helping others, and thrives in a close-knit, professional setting.
Key Responsibilities
- Client Interaction: Serve as a warm, professional first point of contact for clients - managing calls, emails, and appointments with empathy and discretion
- Document Preparation: Draft, edit, and proofread deeds, letters, and forms related to estate planning, trust administration, and probate.
- File & Calendar Management: Maintain organized client files (physical and digital) and track all deadlines, meetings, and signing appointments.
- Administrative Support: Manage client intake, correspondence, billing entries, and document execution logistics.
- Case Coordination: Assist in gathering client information, reviewing intake forms, and ensuring all required details are complete and accurate.
- Confidentiality & Reliability: Handle sensitive information with the utmost discretion and consistently follow through on assigned tasks.
Qualifications:
- Education: Associate's degree or equivalent experience required; paralegal certificate or Bachelor's degree a plus.
- Experience: 1-3 years of administrative or legal office experience preferred (estate planning or probate experience highly valued.
Skills:
- Strong attention to detail and accuracy in document preparation and data entry
- Excellent written and verbal communication skills
- Reliable, organized, and able to manage multiple priorities independently
- Friendly and professional demeanor, especially when working directly with clients
- Proficiency in Microsoft Office; familiarity with Clio software preferred
