SUMMARY of the Administrative Assistant / Intake Coordinator
The Intake Coordinator is responsible for completing data input and completing intake documentation for the Family Preservation, Diversion, and Behavioral Health Programs. Assist the Director of Office Operations in completing office operations. Additionally, the administrative assistant performs a variety of other administrative duties crucial to the efficient and effective operations of KVC Behavioral Healthcare Kentucky, Inc.
ESSENTIAL DUTIES of the Administrative Assistant / Intake Coordinator
-Pre-screen all referrals.
- Request and ensure receipt of all required paperwork necessary for eligibility.
- Obtain necessary information, facilitate completion, and submission of all referrals
- Complete all assignments within requested time frame.
- Monitor, track, and update database for referrals
- Refer all critical incidents and critical risk eligibility to Direct Supervisor
- Communicate approvals/denials for case assignment, by maintaining contact with clients
and/or providing alternative referring agencies.
- Coordinate outreach efforts to community partners for program referrals.
- Provide feedback loop to referral sources.
- Follow Medicaid policy by completing Primary Care Physician Letters within a timely and efficient manner. Sending and documenting requests for missing documentation.
- Assist in scanning, uploading, and indexing for all records within one business day of submission to KVC, via fax, email, mail, or physical document.
- Answer phone calls/questions/inquiries. Route to appropriate person. Take messages and
distribute as necessary.
- All Administrative Assistant; Intake Specialists will adapt to tasks and changes in policy or procedure.
EDUCATION and/or EXPERIENCE needed for the Administrative Assistant / Intake Coordinator
Bachelor's degree from a four year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
