Job Summary
We are a growing HVAC/plumbing company seeking a highly organized Office Assistant to join our team! As the Office Assistant, you will be the first point of contact for callers, manage administrative tasks with precision, and support various office functions to keep everything running seamlessly. Your proactive attitude and excellent organizational skills will contribute to a positive and efficient workplace atmosphere.
This is a part time position with opportunity to become full time in the future. 16-30 hours per week.
Responsibilities
- Provide great customer service and professional phone etiquette.
- Handle data entry, filing, and document proofreading to ensure all records are accurate and up-to-date.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for creating reports, managing schedules, and maintaining records.
- Support calendar management and appointment scheduling for HVAC and plumbing service.
- Assist with office management duties such as supply inventory, mail distribution, and maintaining a clean, organized workspace.
- Perform clerical tasks including typing correspondence, managing incoming emails, and supporting bookkeeping activities using QuickBooks.
- Ability to learn and use Servicetitan software.
Qualifications
- Strong computer literacy and organizational skills.
- Excellent communication skills with professional phone etiquette.
- Proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace applications.
- Prior customer service or administrative experience preferred; but not required.
- Strong time management skills with the ability to prioritize tasks effectively.
- Self motivated and able to work individually as well as part of a team.
Pay: From $20.00 per hour
Expected hours: 16.0 – 30.0 per week
