Position Title: Office Coordinator - Property Management
Reports To: Property Manager
Location: On-Site – Kāneʻohe, Hawaiʻi
Schedule: Full-time; Monday–Friday, with occasional flexibility as needed

This role focuses on organization, documentation, communication, and scheduling, while offering the opportunity to gradually gain more direct property management responsibilities as experience grows.

Position Summary
The Property Management Coordinator provides essential administrative support to the Property Manager and helps ensure smooth day-to-day operations of Kualoa Ranch’s residential and facilities portfolio. This role focuses on organization, documentation, communication, and scheduling, while offering the opportunity to gradually gain more direct property management responsibilities as experience grows.
Key Responsibilities
- Provide administrative support to the Property Manager including tracking tasks, managing records, and preparing reports.
- Coordinate and document repair schedules, work orders, and vendor communications.
- Maintain accurate files (digital and physical) and monitor department expenditures.
- Review incoming facilities management software requests, categorize them, and route them appropriately.
- Assist with inspections, asset tracking (vehicles, tools, materials), and supply purchasing as directed.
- Support tenant communications and property management functions as needed, with potential for increasing responsibility over time.
- High school diploma or equivalent.
- 1 years of administrative or office support experience.
- Computer proficiency (Word, Excel, Outlook, etc.).
- Strong communication skills via email, phone, and in person.
- Ability to work independently, stay organized, and manage multiple priorities in a fast-paced environment.
- Associate’s or Bachelor’s degree in business, communications, or related field.
- Familiarity with facilities or property management software (e.g., Buildium, MaintainX).
- Interest in developing knowledge of property management practices, construction terms, or facility operations.
- Prolonged periods sitting at a desk and working on a computer.
- Ability to lift, carry, and move items up to 25 lbs. on occasion.
- Occasional walking, standing, bending, and reaching during inspections or supply handling.
- Comfortable working both in an office environment and outdoors when supporting property inspections.
