Administrative Assistant / Bookkeeper

Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant / Bookkeeper to join our team. This role will work closely with project engineers and be an integral part of our accounting team, which includes a Head Accountant and a Bookkeeper. The ideal candidate will manage day-to-day bookkeeping, support project and office operations, and ensure smooth coordination between departments.
Key Responsibilities
- Maintain accurate bookkeeping records using Sage 300 ERP across multiple business entities
- Process accounts payable, ensuring timely and accurate recording of transactions
- Manage invoice workflows — scanning, routing to project managers for approval, and preparing for payment
- Coordinate with project managers and vendors on insurance compliance, including Certificates of Insurance (COIs) via Docutrax
- Assist with permit applications (e.g., AHV permits, work permits) in collaboration with engineers and expeditors
- Process check runs, track mailing/pickup schedules, and maintain organized filing systems
- Manage vendor payments for utilities and project site expenses following entity-specific banking protocols
- Maintain office supply inventory and oversee procurement
- Handle phone reception, mail processing, and digital document management via Dropbox
- Oversee shipping logistics, including UPS label creation and tracking
- Support day-to-day office operations, including vendor coordination and facility needs
Qualifications
- 1 year of bookkeeping or accounting experience, preferably in the construction industry
- Proficiency with Sage 300 ERP or similar accounting software (QuickBooks, etc.)
- Strong organizational skills with attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication skills for cross-functional collaboration
- Proficiency in Microsoft Excel, Word, and/or Google Workspace equivalents
- Familiarity with permit applications and insurance documentation is a plus
