Description:
The position of an Office Assistant is a full-time non-exempt hourly position with responsibility for a wide variety of administrative duties within a school bus terminal. This position reports to a Terminal Manager and/or Assistant Terminal manager and works closely with the terminal staff, operations and maintenance teams. As required by the needs of the business the Office Assistant will also drive a school bus or van route.
Duties & Responsibilities:

Assist the Terminal or Assistant Manager and other staff in the overall day-to-day operations of the facility

Assist in the collection and preparation of all reports for the school district.

Assist with billing to the school district and any third-party charter runs.

May be responsible for coordinating employment applicant intake, credentialing and related documentation in the hiring and on-boarding process.

Assist with communication between the company and schools regarding calendars, complaints, bus incidents; communications with parents regarding issues and concerns; communications with drivers and monitors.

Depending on terminal level staffing and skill sets, may be trained and assigned to input, review and process payroll.

Depending on terminal level staffing and skill sets may be trained to perform routing, dispatch, bus video review, training, safety or other operations related duties.

Depending on terminal level staffing and skill sets, may be trained to perform maintenance related recordkeeping and documentation

Responsible for carrying out all company policies and State & Federal applicable regulations.

Follow company policies regarding pupil/client management and relations with parents, teachers, guardians, and the public in general.

Will be required to answer phones and two-way radios.

All other duties as assigned.
Qualifications

Must have or (obtain through company-provided training) a PA (or reciprocal state) Commercial Driver’s License with Passenger, School Bus & Air Brake Endorsements

Current driver physical examination allowing operation of a commercial vehicle with student passengers

A minimum of a High School Diploma or equivalent

Preferred prior office or administrative experience
Knowledge and Skills

PC skills (use of Microsoft Office applications), written and verbal communication skills, and customer service skills are essential. Ability to deal with problems and find solutions. Should provide excellent customer service to external and internal customers.

Preferred to have knowledge of Federal and State regulations that impact the school bus operations

Must be willing to participate in classes that are offered to enhance knowledge.
