GENERAL JOB DUTIES
Responsible for general office duties, assist the Clinical Department and special projects.
ESSENTIAL JOB DUTIES
- Assist Executive Administrative Assistant as needed.

Serves as the primary receptionist for the Agency and completes all relevant tasks, such as:
- Serves visitors by screening, welcoming, and directing them appropriately.
- Notifies personnel of visitor(s).
- Answers phone and answers or refers inquiries to the proper department/personnel.
- Order entry for each of program areas for medical and office supplies.
- Order for our individuals that we serve from various vendors for their wants.
- Preparing and entry of ICAP scores into the electronic system.
- Prepare monthly the AOD calendar.
- Maintain records of staff vaccine consents.
- Conduct an annual open-door policy review for the agency.
- Perform filing, organizing and document copying for the maintenance department.
- Type up, mail and track all residential contracts.
- Obtain written guardian consents as needed.
- Type psychotropic review medication changes and annual psychotropic consents.
- Copy on a monthly basis all DPA medical cards and MARS.
- Document into the transportation system daily and assist with in the transportation program updates.
- Serves as dispatch for Agency vehicles.
- Completes filing and other tasks for various departments as needed.
- Prepares copies for the Agency.
- Maintain various important lists throughout the agency.
- Distribute all agency mail ensuring accuracy in distribution.
- Assist in various mailing and processing as requested.
- Maintains confidentiality.
- Knowledge of office machines, copiers, fax, answering phone, etc. and assist personnel as needed.
- Completes projects assigned by the Executive Administrator.
- Maintains a professional and courteous manner in busy and stressful situations.
- Ability to work in a constant state of alertness and in a safe manner.
ADDITIONAL JOB DUTIES
- Completes training as required.
- Other duties as assigned.
QUALIFICATIONS
- Two years experience as secretary, preferred.
- Proficient and comfortable with Microsoft Office.
- High School diploma or GED required.
- Valid Driver's license and driving record in good standing.
PHYSICAL DEMANDS
- Scheduled weekday hours.
- Works in well ventilated/lighted area.
- Travels occasionally within the Agency service area.
- Must be able to exert up to 30 pounds of force occasionally, and/or up to 10 pounds of force frequently and/or a negligible amount of force constantly to move objects.
- Sedentary work and the worker sits most of the time.
- Must be able to kneel, crouch, reach, stand, finger, talk, hear, and perform repetitive motions.
