Firm Administrator
The law firm of Kravit, Hovel & Krawczyk, s.c. is seeking a highly skilled Firm Administrator to join our team. In this role, you will play a pivotal part in managing our law firm’s operations and finances. This position reports to the managing shareholder and requires a detail-oriented individual with a strong understanding of professional firm operations and accounting principles. Candidates must possess excellent communication skills and a proven ability to collaborate with both attorneys and administrative professionals.
Responsibilities:
· Finance/Accounting – budget expenses; project revenues; reconcile bank accounts; prepare timekeeper statistics and compensation histories; prepare monthly/annual financial reports.
· Cash management – manage daily cash position; review vendor bills; sign checks; negotiate/contract with vendors; dun clients.
· Benefit Plans – administrate all aspects of various benefit plans including 401k; HRA; FSA; Disability; Health and Dental.
· Banking – liaison to bank; send wires; line of credit draws; prepare bank reports; and oversee financial package renewal.
· Tax – liaison to outside CPA firm; prepare schedules for various tax returns.
· Systems – procure computer equipment including cell phones; facilitate system upgrades.
· Insurance – prepare applications for various coverages including professional liability; cyber; EMPLI; D&O; and CGL.
· Marketing – oversee website development; manage various online listings; prepare advertisements in publications.
· Facilities – participate in lease negotiations; manage space planning; assign parking.
· Human Resources – manage activities of department managers; address hiring needs; review ads placed for recruitment; administrate hiring and onboarding; conduct performance reviews; work with managing shareholder on salary adjustments, discipline, and separation, as applicable, of administrative professionals.
Requirements
· Bachelor’s degree in Accounting, Finance, or a related field. CPA, CLM, or MBA preferred.
· 5 years of progressive accounting experience in a professional service firm.
· 2 years prior management experience in a professional service firm; preferably a law firm.
· Solid understanding of professional service firm operations and accounting responsibilities including benefit plan administration; cash management; trust/IOLTA compliance; and bank reconciliations.
· Proficiency in time and billing software (preferably TABs) and advanced skills in Microsoft Excel.
· Strong analytical abilities with exceptional attention to detail.
· Excellent communication, leadership, and collaboration skills.
