**Overview:**
We are seeking a detail-oriented and friendly Front Desk Receptionist to join our team. The ideal candidate will be responsible for handling front office reception and administration duties.
**Duties:**
- Answer phone calls from new potential clients and schedule initial consultations
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls
- Ensure the reception area is tidy and presentable, with all necessary stationery and material
- Provide basic and accurate information in person and via phone/email
- Maintain office security by following safety procedures and controlling access via the reception desk
- Assist other staff with filing, scanning, and renaming documents and preparing basic legal documents
- Preparing social media posts and drafting responses to client feedback
- Prepare and edit videos regarding firm employees and tasks
- Draft public press releases
- Follow up with potential clients and remind clients regarding appointments
- Run conflict checks and handle initial phone calls with potential clients and follow up with whether those potential clients will hire our firm
- Assist with advertising
**Qualifications:**
- Must have excellent phone skills. Most of the time will include taking multiple phone calls, speaking to new potential clients, and getting them scheduled for initial consultations.
- Must have keyboarding skills and the ability to touch type at least 40 words per minute.
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Hands-on experience with office equipment (e.g., printers, fax machines)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
