Position Summary
We're seeking a detail-oriented Document Management Coordinator to manage our document repositories, archives, and records lifecycle. This role ensures compliance with all regulatory requirements while maintaining accurate, secure, and accessible documentation across physical and electronic systems.
Essential Duties & Responsibilities
- Maintain document repositories and archives while verifying documentation throughout the complete records lifecycle (receiving, active use, storage, and disposition)
- Review all documents for accuracy and coordinate review and revision practices
- Maintain systems for disseminating and tracking retention schedules
- Ensure compliance with Environmental, Health & Safety policies, and all Local, State, and Federal regulatory requirements
- Complete all required training within established timeframes
- Perform all tasks per approved Standard Operating Procedures (SOPs)
- Conduct risk analysis and assessment of proposed changes to documentation processes
- Collaborate cross-functionally with Security, Privacy, and Legal teams to align Records Management processes with organizational policies
- Support information security, data protection, privacy, and regulatory compliance requirements
- Associate's Degree (minimum required)
- Proven experience maintaining document repositories and archives
- Strong attention to detail with excellent written and verbal communication skills
- Demonstrated ability to work cross-functionally across multiple teams
- Strong problem-solving capabilities
- Ability to manage multiple tasks and meet tight deadlines
- Knowledge of records management lifecycle and compliance requirements
- Bachelor's Degree
