Job Overview
We are seeking a detail-oriented and organized Accounting Administrative Assistant to join our team. Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Tax Software, Microsoft Office, and Google Workspace applications
- Assist with bookkeeping tasks such as invoicing, billing, and expense tracking
- Support office management activities including filing, document packet assembly, and calendar management
- Provide exceptional customer support via phone and in-person interactions, ensuring positive client experiences
- Coordinate appointments and meetings, managing schedules for staff and executives
- Handle general clerical tasks such as typing correspondence, organizing files, and maintaining office supplies
- Contribute to efficient office operations through organizational skills and effective time management
- Assist the Accounting staff to optimize the flow of documentation and work papers.
Requirements
- Proven experience in office administration or clerical roles; experience with an accounting firm is preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and data entry skills
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent written and verbal communication skills
- Familiarity with front desk operations, multi-line phone systems, and customer service best practices
- Office management experience including calendar management and document proofreading
- Knowledge of tax return preparation is a plus but not required
- Demonstrated computer literacy with the ability to adapt to new software tools quickly
- Ability to maintain professionalism with excellent phone etiquette and customer support skills
- High school diploma or equivalent; additional administrative or bookkeeping certifications are a plus
