The Shipping and Receiving Administrator is responsible for all inbound and outbound freight which includes import/export of After Market Sales (AMS) Parts Orders and Capital Equipment. The Shipping and Receiving Administrator will also work closely with the Materials Administrator and Manufacturing Personnel to assist with accurate documentation and inventory functions within the stockroom.
Role and Responsibility
- Coordinate inbound and outbound freight shipments while working closely with manufacturing personnel to determine freight requirements, dimensional information, and timing
- Work with standard shipping interface programs, customer freight portals, customer freight departments, and freight forwarders
- Work with freight companies to obtain freight costs for AMS and Capital Equipment
- Prepare proper shipping documents such as: Packing List, Bill of Lading, International Paperwork, and Commercial Invoices
- Print Bill of Materials and pull inventory/project material for the shop floor when requested
- Assist with ordering Manufacturing Shop supplies and shipping material by inputting inventory material into the system
- Verify inbound freight shipments and validating the quantities received against the packing list or shipping documents
- Process received items in the system based on the purchase order line items and quantities. Report identified discrepancies and take corrective action with the Purchasing and Vendor staff.
- Label and place all incoming parts and materials with proper labels such as: job number, unit number and purchase order (PO) number on assigned shelves, skids, or plastic bins
- Assist with periodic inventory cycle counts
- Work with Purchasing and other manufacturing personnel in a timely manner to return unused materials from the job shelves
- Ensure the efficient and timely flow of materials between multiple manufacturing facilities
- Comply with all work rules, policies, and procedures including safety and regulations
- Take on additional responsibility as the back-up for the Materials Administrator when needed
Qualifications:
- Associate’s degree in logistics, purchasing, or supply chain management; bachelor’s degree preferred
- 5 years of related experience may be considered in place of degree
- 2 years of experience with high volume shipping and receiving, preferably in a manufacturing environment
- 2 years of experience working with transportation carriers to arrange shipments
- 2 years of experience with entering shipping and receiving documents into a large Enterprise Resource Planning (ERP) system
- Ability to lift at least 50 pounds and have the ability to climb, stand, stoop or kneel for extended periods of time
- Knowledge of UPS, FedEx, LTL, Flatbeds, Conestoga, Stepdecks, Double Drops, and Permitted Loads
