The Contract Administrator II will review and negotiate contracts related to the sales, procurement, manufacturing, and delivery of machinery and equipment for Komline and its’ affiliates. The Contract Administrator II will ensure compliance with contractual obligations, mitigate risks, and maintain positive relationships with clients, suppliers, and internal stakeholders. The Contract Administrator II will also play a key role in negotiating Non-Disclosure Agreements (NDAs), managing contract databases, and collaborating with the management team and parent company on various administrative and acquisition related contracts/ documents.

Roles and Responsibilities

  • Consider risks pertaining to accepting contracts, contract obligations, and financial requirements including terms of payment, foreign trade, warranty, and insurance issues
  • Review all order entry documents, contracts, and purchase orders for conformity with Komline-Sanderson
  • Draft, review, and negotiate NDAs, terms and conditions, and contracts with clients, suppliers, subcontractors, sales representatives, vendors, and etc.
  • Review bid documents and prepare exceptions and bid submissions
  • Work closely with the sales team, project managers, finance team, and senior management to ensure alignment on contract terms and conditions
  • Ensure all contracts comply with company policies, legal requirements, and industry standards
  • Maintain a centralized database of contracts and related documentation ensuring accuracy and accessibility
  •  Confirm job related forms and communications are completed correctly and in a timely manner
  • Enter new contract on the Enterprise Resource Platform (ERP) and distribute and track changes
  • Track payment milestones and work with the accounting team to update estimated invoice dates, confirmed invoice dates, while updating and maintaining multiple spreadsheets for all Contract Jobs
  • Collaborate with clients and banks to negotiate favorable terms and conditions for Letters of Credit (LCs). Prepare and verify documentation for LC transactions while coordinating with banks to ensure timely processing and submission for payment
  • Liaise with clients and suppliers to resolve contract-related disputes and facilitate effective communication
  • Collaborate with the management team on administrative contracts to ensure all agreements support organizational goals
  • Liaise with the parent company on various activities and assist in the evaluation and integration of contracts related to acquisitions
  • Oversee the accurate processing of bond issuance, ensuring all documentation is complete. Maintain an up-to-date and detailed list of all bonds issued, including maturity dates and any changes or amendments.

Required Qualifications

  • Bachelor’s degree in Business Administration or other relevant discipline
  • 5 years of experience as a Contract Administrator, Contract Manager, Paralegal, or other relevant role
  • Knowledge of legal requirements involved with contracts
  • Familiarity with accounting procedures
  • Strong analytical and organizational skills with a high degree of accuracy and attention to detail
  • Demonstrated ability to efficiently manage multiple tasks simultaneously, handling high volumes of work with precision and meeting urgent deadlines
  • Strong verbal and written communication to effectively liaise with internal teams and external stakeholders
  • Respond promptly to inquiries and follow up on outstanding issues
  • Proficiency in Microsoft Office Suite of products

Preferred Qualifications

  • Law or paralegal certification
