Duties
- Greet visitors, clients, and vendors warmly, ensuring a professional and friendly first impression.
- Manage multi-line phone systems with excellent phone etiquette, directing calls accurately and promptly.
- Handle incoming and outgoing correspondence, including emails, mail, and packages, with attention to detail.
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office.
- Support office management tasks such as scheduling appointments, calendar management, and coordinating meetings.
- Enter data accurately into QuickBooks or other bookkeeping software; assist with basic bookkeeping tasks.
- Provide clerical support including proofreading documents, data entry, and document preparation.
- Assist with customer service inquiries by offering prompt support and resolving issues efficiently.
- Manage office supplies inventory and place orders to ensure smooth daily operations.
- Support additional administrative duties such as proofreading correspondence, managing calendars, and supporting personal assistant tasks as needed.
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Familiarity with multi-line phone systems and professional phone etiquette.
- Experience with QuickBooks or bookkeeping software is highly desirable.
