Job Title: Title Coordinator / Abstract Support Specialist
Position Summary:
We are seeking a detail-oriented Title Coordinator / Abstract Support Specialist to assist in managing the title process from order to completion. This role focuses on coordinating with outside abstractors, performing light abstracting, and working closely with attorneys to keep files moving efficiently. The ideal candidate is organized, communicative, and comfortable handling multiple files in a small, team-focused environment.
Key Responsibilities:
- Order title searches and coordinate directly with outside abstractors
- Track and manage incoming abstracts to ensure timely delivery
- Review abstracts for completeness and follow up on missing or unclear information
- Perform light abstracting and supplemental searches as needed
- Work closely with attorneys to prioritize files and maintain steady workflow
- Communicate with abstractors, attorneys, and internal staff regarding file status and needs
- Process billing related to title searches and abstracting services
- Reconcile parish clerk charges and related fees for accuracy
- Maintain accurate notes, and file documentation
- Utilize title software to manage files and workflow
- Provide front office support, including greeting clients and managing incoming visitors
- Collect and verify identification (e.g., driver’s licenses) for closing files
- Assist with post-closing tasks
- Provide light escrow support during closings as needed
Qualifications:
- No experience in title, abstracting, or real estate required but preferred
- Basic understanding of Louisiana property practices, including parish records and common title documents
- Ability to read and understand deeds, mortgages, liens, and legal descriptions
- Strong organizational and time-management skills
- Detail-oriented with the ability to manage multiple files simultaneously
- Clear and professional communication skills
- Comfortable working with outside vendors and other professionals
- Relevant experience in title, real estate, or legal support preferred
