Knightscope is seeking a highly motivated, ultra-organized, and discreet A Executive Assistant to provide direct support to our Executive Vice Presidents. You will be the gatekeeper and force-multiplier for top-level leaders in a fast-moving, mission-driven environment. The ideal candidate is not just an expert in calendars and travel, but a proactive thinker, a master of communication, and someone who thrives under pressure with poise and precision. You’ll anticipate needs, manage high volumes of information, and act as a seamless extension of our leadership team. Most importantly, you understand how to protect executive bandwidth—ensuring priorities are focused on high-impact work.
We’re looking for someone who is fiercely reliable, exceptionally detail-oriented, naturally discreet, and hungry to contribute to a meaningful mission. You’ll need to be technologically fluent and comfortable using (and helping to introduce) modern tools, including generative AI, to drive productivity and efficiency.
Core Responsibilities
- Manage complex calendars, scheduling, meeting logistics, and prioritization for multiple EVPs
- Handle confidential correspondence, documents, and communications with utmost discretion
- Coordinate travel arrangements and prepare detailed itineraries, including international trips
- Draft emails, memos, presentations, and reports on behalf of the EVPs
- Proactively manage follow-ups, reminders, and deadlines
- Facilitate smooth internal and external communications, acting as liaison with key stakeholders
- Organize and support executive offsites, board meetings, and high-stakes events
- Exercise sound judgment to make decisions on behalf of executives when appropriate, including prioritizing requests and resolving conflicts without constant oversight.
- Maintain strict adherence to security protocols for data handling, access control, and executive communications; familiarity with basic cybersecurity principles is a plus.
- Prepare materials for board meetings and investor presentations; manage logistics and communications with external stakeholders such as investors, analysts, and legal advisors.
- Must be available for after-hours coordination and urgent requests; flexibility is essential due to the nature of executive schedules and potential travel or investor demands.
- Build and improve systems that make executive operations more efficient and scalable
- Stay one step ahead—anticipate needs, resolve scheduling conflicts, and remove friction
Requirements
- 5 years of experience supporting C-level or EVP-level executives in a dynamic environment
- Exceptional written and verbal communication skills
- Advanced proficiency with Office365 tools (Word, Excel, Power point, Zoom, etc.)
- Demonstrated ability to handle highly sensitive and confidential material
- High emotional intelligence and professional maturity
- Strong judgment, problem-solving skills, and initiative under pressure
- Proven track record of building systems, streamlining workflows, and handling ambiguity
- Ability to manage multiple projects and shifting priorities with grace and speed
Bonus Points / Nice-to-Have Skills
- Experience supporting multiple executives simultaneously
- Background in technology, robotics, or high-growth startup environments
- Demonstrated use of generative AI tools (e.g., ChatGPT, Gemini, or similar) to enhance productivity, automate workflows, or assist with communication and content creation
- Experience coordinating across different time zones and international travel
- Prior exposure to board-level reporting or investor communications
