RESPONSIBILITIES
I. Reception Operations
- Serve as the first point of contact by greeting visitors professionally in person and by phone
- Grant access to the FRTIB reception area for approved visitors, deliveries, and staff
- Ensure all visitors sign in accurately using the SPLAN visitor log
- Enter visitor requests into the Data Brookfield Management System
- Download visitor reports and include them in the monthly report
- Invite visitors to complete the receptionist customer satisfaction survey
- Maintain a clean, organized, and professional front desk and reception area
- Monitor office equipment for functionality and report any issues
- Validate parking tickets and update the parking ticket log
- Provide directions, contact details, and general information to callers and visitors
- Maintain security protocols in accordance with FRTIB and building management policies
- Screen calls for the Executive Director and Deputy Executive Director, take messages, and escalate priority calls
- Forward calls to staff or voicemail as appropriate, and route voicemails to Converge when needed
- Respond promptly and professionally to all incoming telephone inquiries
- Maintain and update the office and employee directories
- Demonstrate tact and courtesy in all interactions with staff and visitors
- Receive, sort, and log all incoming and outgoing packages and mail via FedEx, UPS, USPS, and couriers
- Support processing and tracking of express mail and courier shipments
- Maintain administrative logs (e.g. visitor, mail, parking ticket, and Certificate of Insurance (COI) records)
- Update agency office space records within two business days of employee changes
- Submit service requests for facility maintenance issues within 24 hours of notice
- Notify Facility Specialist of COI rejections within one hour
- Alert Facility Specialist 15 days before COI expiration dates for follow-up
- Turn off lights and equipment in the Board Conference Room at the end of each day
- Perform full-service Personal Identity Verification (PIV) credentialing tasks (e.g., sponsorship, enrollment, and activation)
- Complete card termination actions and Personal Identification Number (PIN) resets as needed
- Accurately enter personally identifiable information (PII) and related data for sponsorship with minimal errors
- Verify applicant identity and document validity before enrollment
- Scan documents, take photos, and perform fingerprinting per standards
- Contact the USAccess (GSA credentialing system) service desk if fingerprints do not register
- Attend fingerprint training as scheduled
- Print PIV cards with proper lamination and no defects
- Resolve printer issues or contact helpdesk support when needed
- Schedule enrollment, fingerprinting, and activation appointments as needed
- Add or remove employee contact information in the Mass Notification System during onboarding or offboarding
- Complete offboarding checklists and terminate PIV credentials via GSA USAccess
- Provide clerical and administrative assistance (e.g., data entry, etc.)
- Schedule and set up training room facilities for board meetings
- Contribute to agency objectives by supporting tasks aligned with the FRTIB Strategic Plan
- Deliver all work accurately, efficiently, and in alignment with quality expectations
- Use Microsoft Office software proficiently (e.g., Excel, Word, PowerPoint, Outlook, Forms, etc.)
- Ensure all submitted items are clear, concise, and free from grammatical or spelling errors
- Maintain confidentiality of sensitive or privileged information in accordance with agency policies
KNOWLEDGE & SKILLS
- Knowledge of office procedures, professional reception practices, and federal workplace protocols preferred
- Knowledge of Microsoft Office (e.g., Word, Excel, Outlook, PowerPoint, Forms, etc.) preferred
- Skill in communicating effectively and courteously with staff, leadership, and the public preferred
- Skill in organizing, tracking, and reporting detailed administrative information (e.g., logs, schedules, records) preferred
- Skill in managing multiple priorities while maintaining accuracy and professionalism preferred
- Speak, read, and write English fluently required
BACKGROUND
- Experience in a customer-facing, administrative, or receptionist role within an office environment preferred
- Experience supporting scheduling, mail processing, visitor management, or credentialing preferred
- Experience in a Federal or public sector preferred
EDUCATION
- Bachelor’s degree preferred
