Job Title: Client Intake Coordinator

Job Description: Growing nonprofit serving local veterans seeking a highly organized and detail-oriented Intake Coordinator to support the processing and screening of veteran applications to our housing program. The ideal candidate will be responsible for managing the intake process, ensuring veterans' applications are accurately screened, reviewed and processed according to all program requirements. This role is vital to the success of our programs and involves working independently in a fast-paced, hybrid remote environment.

As our Intake Coordinator, you will be instrumental in ensuring that veterans receive timely and professional support while adhering to program guidelines and ensuring data integrity. You will also assist the leadership team with additional administrative and operational tasks, contributing to the smooth day-to-day function of the program.

Key Responsibilities:

Veteran Application Processing: Screen, review, verify, and process incoming applications to ensure accuracy, completeness, and eligibility based on program requirements.

Phone Screening: Answer incoming calls from veterans, providing information about available programs and conducting initial screenings to assess needs.

Data Management: Maintain accurate records of veteran applications, communications, and phone screenings within the organization's database and/or CRM system.

Client Interaction: Provide exceptional customer service by responding to inquiries from veterans and addressing concerns or issues in a timely and professional manner.

Communication: Communicate program updates, application status, and next steps to veterans through phone calls, email, or other communication channels.

Documentation & Reporting: Ensure all interactions and case progress are documented accurately. Assist in preparing reports for internal teams and leadership.

Collaboration: Work closely with other team members, leadership, and external partners and stakeholders to ensure seamless service delivery.

Administrative Support: Assist with general administrative tasks such as scheduling, data entry, and document management as assigned.

Required Skills & Qualifications:

Education: At least an associate's degree in related field of study (social work/services, public policy, business management, or community affairs) or 3 years relevant experience is required.

Outstanding Communication: Exceptional verbal and written communication skills, with the ability to interact professionally and empathetically with veterans.

Organizational Skills: Excellent ability to manage multiple tasks, prioritize work, and meet deadlines in a remote environment.

Attention to Detail: Ability to process and screen applications thoroughly, ensuring accuracy and compliance with program guidelines.

Tech Proficiency: Must have demonstrated skill in:

  • G Suite/Workspace
  • MS Excel
  • Basic data management
  • HMIS preferred

Problem-Solving: Ability to assess situations and take initiative in providing solutions to veterans' inquiries or concerns.

Customer Service: A passion for helping others, particularly veterans, with a focus on providing excellent service and support.

Independence & Reliability: Ability to work independently, stay self-motivated, and be trusted to complete tasks with minimal supervision in a timely fashion.

Preferred Qualifications:

Previous experience working with veterans or in a similar intake, case navigation, customer service, or administrative role.

This position is hybrid remote with in office days Tuesdays & Thursdays and offsite events.
