Location Manager (Part-Time)

About the Role
Kiva Cowork is looking for a friendly, detail-oriented part-time Front Desk / Location Manager to help run the day-to-day operations of our coworking spaces. This person will be the first face members and guests see, setting the tone for a warm, professional, and productive environment at our State Street location in Santa Barbara.
Schedule
- Part-time, in-person
- 20 hours a week (flexible scheduling- depends on the availability of the candidate)
- Shifts fall within business hours (8 AM–5 PM)
- Coordination required with the Funk Zone location manager to stagger lunch breaks
What You'll Do
Member & Guest Experience
- Greet all members and visitors warmly; learn names and faces over time
- Answer phones with a friendly greeting; return missed calls promptly and professionally
- Give tours to prospective members, explaining pricing, membership rules, and what makes Kiva different from other coworking spaces
- Handle member questions and concerns, escalating anything you're unsure of
- Check and respond to emails
New Member Onboarding
- Create customer accounts and assign contracts (day pass or membership)
- Set up auto pay/auto invoicing and collect payment information
- Provide wifi access (guest or secure member wifi) and set up printing access
- Issue building/Kisi access and relevant door codes for new members
- Share parking information and give a full space tour
Daily Opening Tasks (depending on the final shift schedule)
- Unlock the front door by 8:30 AM
- Turn on all lights and start music
- Run a load of dishes, continue to check on it throughout the day
- Make coffee (two pots, more as needed) and ensure the kitchen is clean and stocked
- Stock phone booths with pens/notepads and wipe down surfaces
- Wipe down outside patio surfaces/tidy up outside
- Turn on conference room TVs and the main space TV; confirm Zoom Rooms is working
- Review the day's bookings and prep/clean conference rooms as needed
Daily Closing Tasks (depending on the final shift schedule)
- Empty and clean coffee carafes; put away food
- Start the dishwasher
- Turn off conference room lights and TVs
- Erase phone booth whiteboards and update with the next day's date
- Sort and organize mail using the mailbox tracking sheet (Google Sheets)
Ongoing Upkeep
- Keep the kitchen clean and stocked throughout the day (check about every hour)
- Clean and stock bathrooms as needed
- Maintain the espresso machine daily (backflush and sanitize, typically around 4 PM)
- Take out trash and do a deeper tidy on designated days (Tuesdays/Thursdays)
- Use stainless steel cleaner on fridges, sinks, and metal surfaces
- Proactively spot issues before they become problems — temperature, printer paper, low supplies — and let the Manager know what's running low
What We're Looking For
- Friendly, personable, and comfortable interacting with a wide range of people
- Strong attention to detail and a proactive, "notice it before it's a problem" mindset
- Comfortable learning new software/systems (Yardi, Kisi, RingCentral, Outlook)
- Reliable and punctual — especially important for opening duties
- Prior customer service, hospitality, or front-desk experience a plus
- Able to work across multiple locations as needed in Santa Barbara
Compensation
- $21/hour, approximately 20 hours/week
- Opportunity for advancement and a 10-15% raise after the first month
- Additional hours available for those interested in coordinating events (e.g. speaker series, community networking events)
