We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! Duties
- Greet visitors and manage front desk operations with friendly professionalism, including answering multi-line phone systems and providing exceptional customer service.
- Maintain a welcoming office environment by managing clerical tasks such as filing, data entry, proofreading, and organizing documents.
- Oversee calendar management and scheduling for staff appointments, meetings, and client visits using tools like Google Workspace and Microsoft Office.
- Handle bookkeeping duties utilizing QuickBooks to process invoices, track expenses, reconcile accounts, and ensure accurate financial records.
- Support administrative functions such as managing correspondence, preparing reports, and assisting with calendar management for executives or team leaders.
- Provide customer support via phone or email, demonstrating excellent phone etiquette and organizational skills to address inquiries promptly.
- Manage office supplies inventory, coordinate maintenance needs, and ensure all office equipment is functioning properly to support daily operations.
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Proficiency in QuickBooks for bookkeeping purposes along with strong computer literacy across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Experience handling multi-line phone systems, front desk duties, and phone etiquette with professionalism.
- Bilingual abilities are highly preferred to serve diverse client needs effectively.
- Previous experience as a dental or medical receptionist or personal assistant is a plus.
- Strong typing skills with attention to detail for proofreading and data entry tasks.
- Knowledge of office procedures including filing systems, calendar management, and time management techniques.
