Position Overview:
We’re seeking a highly organized, creative, and detail-oriented Event Development Coordinator to join our growing team. This role plays a key part in developing and executing customized event proposals and programs. The ideal candidate thrives in a fast-paced environment, communicates effectively, and combines strong logistical skills with a passion for exceptional client experiences—always with a keen eye for design.
Key Responsibilities:
- Develop detailed, client-facing proposals for a wide range of programs including:
- Off-property events
- On-site themed events
- Daytime activities & excursions
- Team-building experiences
- Entertainment & décor
- Transportation services
- Ensure proposals are delivered on time and meet client objectives
- Coordinate vendor pricing, availability, and secure timely contracts
- Create client contracts and deposit invoices
- Maintain and update Excel-based cost sheets and pricing tools
- Organize and manage digital files, pricing archives, and proposal templates
Requirements:
- Minimum 5 years of proven experience in event planning or coordination, ideally within the hospitality industry
- Excellent organizational skills with the ability to manage multiple projects simultaneously
- Proactive, self-motivated, and able to work independently
- Strong communication skills across phone, email, and in-person vendor interactions
- Proficiency in Microsoft Office, especially Excel and Word
Preferred Qualifications:
- Experience working with a Destination Management Company (DMC)
- Background in event design, décor, or creative development
- Knowledge of QuickBooks or similar accounting software
- Degree in Hospitality, Event Management, or related field
