Position Overview
We are seeking a highly organized, proactive, and detail-oriented Event Operations Manager to join our growing team. This role is responsible for overseeing the operational execution of events and programs, ensuring all logistics are delivered seamlessly and to the highest standards. The ideal candidate thrives in a fast-paced environment, communicates confidently with clients and vendors, and excels at managing complex event operations with precision and professionalism.
The Event Operations Manager plays a critical role in translating approved event concepts into flawless execution while maintaining exceptional service and hospitality throughout every program.
Key Responsibilities
- Oversee and manage all operational aspects of events and programs from planning through execution.
- Execute transportation movements, tours, on-site and off-site events, and full program logistics.
- Coordinate and confirm all operational details, including staffing, vendor schedules, transportation, and client communication.
- Maintain and monitor client manifests, timelines, and operational documents using Excel and internal systems.
- Coordinate airport arrivals and departures, venue staffing, and transportation schedules.
- Create detailed program recaps outlining timelines, load-in/load-out schedules, staffing plans, vendor responsibilities, and all operational details.
- Conduct site inspections with clients and internal teams to walk through venues, timelines, and logistics.
- Serve as the primary on-call operations contact during assigned program schedules; company phone provided.
- Be present on-site during program operations to oversee execution, troubleshoot issues, and ensure service excellence.
- Collaborate closely with sales and development teams to support client requests and ensure a smooth transition from proposal to execution.
- Conduct post-event evaluations to gather feedback, assess performance, and identify areas for improvement.
- Identify opportunities to enhance programs through operational efficiencies, creative enhancements, and value-added services.
Requirements
- Minimum of 7 years of experience in event operations, event management, or hospitality-related roles.
- Strong organizational and time-management skills with the ability to manage multiple programs simultaneously.
- Proven experience managing vendors, transportation logistics, staffing, and complex event operations.
- Excellent communication and interpersonal skills with a client-focused mindset.
- Flexibility to work evenings, weekends, and on-call schedules as required.
- High attention to detail and ability to remain calm and solution-oriented in fast-paced environments.
- Proficiency in Microsoft Office, particularly Excel and Word.
Preferred Qualifications
- Experience working with a Destination Management Company (DMC).
- Background in event design, décor, or creative production.
- Knowledge of QuickBooks or similar accounting software.
- Degree in Hospitality, Event Management, or a related field.
