Job Description:
We are seeking a professional, detail-oriented, and highly organized individual to serve in a dual role as Receptionist and Accounts Payable Specialist. This position will act as the first point of contact for our company while also supporting the accounting team with accurate and timely processing of financial transactions. The ideal candidate will have strong customer service skills, excellent organizational abilities, and a high level of attention to detail.
Key Responsibilities:
Reception & Office Support:
- Greet and welcome guests in a professional and friendly manner
- Answer, screen, and direct incoming phone calls
- Maintain a clean, organized, and presentable office environment
- Receive, sort, and distribute daily mail and deliveries
- Maintain office security by following procedures and controlling access at the front desk
- Perform general clerical duties including filing, scanning, shipping, and faxing
- Maintain Certificates of Insurance (COIs)
- Monitor and order office supplies as needed
Accounts Payable:
- Review, code, and process vendor invoices and employee expense reports
- Match invoices with purchase orders and receipts to ensure accuracy
- Monitor due dates and ensure timely payments
- Prepare and process check runs, wire transfers, and ACH payments
- Reconcile accounts payable transactions and resolve discrepancies
- Maintain accurate and organized financial records and documentation
- Assist with month-end closing and audits
- Collaborate with internal teams and vendors to ensure accuracy and compliance
Qualifications:
- Previous experience in accounts payable, accounting, or administrative support preferred
- Familiarity with accounting software (e.g., Microsoft Business Central, Famous) is a plus
- Strong attention to detail and organizational skills
- Ability to prioritize tasks and meet deadlines
- Excellent communication and customer service skills
Pay: $16.00 - $19.00 per hour
