The Executive Personal Assistant to the CEO is a critical support role responsible for providing high-level administrative, organizational, and operational assistance to the Chief Executive Officer. This position ensures the efficient management of the CEO’s daily activities, communications, and priorities while maintaining the highest level of professionalism, confidentiality, and discretion.
The role requires a highly organized, proactive, and detail-oriented professional with the ability to manage complex schedules, coordinate executive communications, and serve as a strategic liaison between the CEO, executive leadership, employees, and internal and external stakeholders in a fast-paced corporate environment.
DUTIES AND RESPONSIBILITIES:
- Act as the primary liaison between the CEO, executive leadership team, employees, and internal and external clients
- Manage and respond to emails and written communications on behalf of the CEO in a professional and timely manner
- Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and executive commitments
- Coordinate and manage complex domestic and international travel arrangements, including itineraries, reservations, and logistics
- Prepare reports, presentations, executive summaries, correspondence, and briefing materials as required
- Organize, manage, and maintain efficient filing and documentation systems, both digital and physical
- Support executive meetings by preparing agendas, coordinating materials, taking notes when required, and following up on action items
- Screen, prioritize, and route incoming communications and requests appropriately
- Anticipate the CEO’s needs and proactively resolve administrative or operational issues
- Coordinate with senior management and departments to ensure alignment, timely communication, and workflow efficiency
- Handle sensitive and confidential information with the highest level of discretion and integrity
- Support special projects and executive initiatives as assigned
- Attend internal meetings as required to support executive operations
- Ensure compliance with company policies and administrative procedures
- Maintain a professional and positive working relationship with all stakeholders
EDUCATION AND EXPERIENCE:
- Associate’s or Bachelor’s Degree in Business Administration, Management, or a related field preferred
- Minimum of 3 years of experience as a Personal Assistant or Executive Assistant supporting a senior executive or CEO
- A combination of relevant education, training, and experience will be considered
