Position Summary:
The Billing and Coding Specialist is responsible for ensuring accurate preparation, submission, and follow-up of all medical and service-related billing for Kindred Spirits Home Care LLC. This role requires strong knowledge of ICD-10, CPT, HCPCS coding, and compliance with Medicaid Waiver, private pay, and other payer requirements. The specialist will manage claims, monitor payments, resolve denials, and maintain accurate financial and client records in alignment with State of Indiana requirements and agency policies.
Responsibilities :
- Billing & Coding
- Review and accurately code services using ICD-10, CPT, and HCPCS codes according to payer requirements.
Claims Management
- Monitor accounts receivable to ensure timely payments.
- Follow up on denied or unpaid claims and resubmit as necessary.
- Post payments, adjustments, and reconcile accounts.
- Maintain detailed billing logs and reports for management review.
Compliance & Documentation
- Maintain accurate client billing files including Service Plans, NOAs, and authorization letters.
- Safeguard confidential financial and health information in compliance with HIPAA.
- Stay current with Medicaid Waiver guidelines, insurance payer requirements, and industry coding updates.
Communication & Support
- Provide billing explanations and support to clients, caregivers, and management.
- Collaborate with Care Coordinators, RNs, and management staff to ensure billing accuracy.
- Assist with audits, reports, and compliance reviews.
Qualifications
- High School Diploma or equivalent (Associate’s Degree in Health Information or Billing preferred).
- Minimum 2 years of billing/coding experience in healthcare (home care or Medicaid Waiver experience preferred).
- Knowledge of ICD-10, CPT, HCPCS, Medicaid Waiver billing, and payer portals.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office and billing software (experience with AxisCare a plus).
- Excellent written and verbal communication skills.
Working Conditions

- Regular business hours, with occasional overtime to meet billing deadlines.

Performance Measures
- Timely and accurate submission of claims.
- Minimal claim denials and errors.

- Positive collaboration with internal staff and external payers.
- Prepare, submit, and track claims for Medicaid Waiver, private insurance, and private pay clients.
- Verify accuracy of service documentation prior to claim submission.
- Ensure compliance with FSSA, DDARS, BDS, and federal/state billing regulations.
Job Type: Part-time
Pay: $18.00 - $21.00 per hour
Expected hours: No less than 25 per week
