Job Description
We are seeking a friendly, organized, and self-motivated individual to join our team as a
Front Office Customer Service Representative
for our Homeowners Association (HOA). This part-time role will primarily focus on assisting residents, processing maintenance requests, and maintaining an organized system for all customer service-related tasks. The ideal candidate will have excellent communication skills, a strong attention to detail, and a passion for providing top-tier service to our community members.
Key Responsibilities
- Resident Interaction:
- Assist walk-in residents and handle inquiries with a "white glove" customer service approach.
- Respond to emails from residents requesting maintenance or repair services.
- Provide clear, empathetic, and timely responses to all inquiries.
- Work Order Management:
- Enter resident service requests into the Enumerate system for tracking and processing.
- Ensure that all maintenance or repair work orders are accurately documented and communicated to the relevant parties.
- Letter Creation:
- Send out pre-approved template letters to residents regarding maintenance updates, service requests, or other HOA-related communications.
- Organizational Support:
- Create and maintain organized files and records of all customer service interactions and work orders.
- Ensure that all correspondence, documentation, and files are accurate and up to date.
- Other Administrative Tasks:
- Provide general front-office support as needed, including answering phones, greeting residents, and other administrative duties.
Qualifications
- High school diploma or equivalent; additional administrative or customer service training is a plus.
- Previous experience in customer service, office administration, or a similar role is preferred.
- Proficient in using office software (Microsoft Office Suite, Google Workspace, etc.).
- Familiarity with customer service management systems, particularly Enumerate, is a plus.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Ability to maintain a professional and friendly demeanor when dealing with residents.
- Self-starter with the ability to work independently with minimal supervision.

- This is a part-time position with flexible hours. Exact schedule will be discussed upon offer.
