Job Summary:
We are seeking a Maintenance Data Coordinator with strong attention to detail and a solid understanding of mechanical systems, equipment components, and heavy-duty trucks. This role is responsible for extracting, cleaning, and formatting maintenance-related data from internal systems using Excel and other tools, and ensuring accurate entry into external systems or platforms. The ideal candidate has hands-on experience with mechanical parts and a data-driven mindset to support maintenance operations and inventory accuracy.
Key Responsibilities:
- Extract and analyze maintenance and parts data from internal systems.
- Clean and structure data using Excel (pivot tables, formulas, data validation, etc.).
- Input, update, and migrate accurate equipment and parts data into external systems (e.g., ERP, CMMS, or fleet management software).
- Ensure data consistency across systems related to work orders, parts inventory, and equipment records.
- Assist in setting up and maintaining equipment records, preventive maintenance schedules, and parts lists.
- Generate reports related to maintenance history, parts usage, and system audits.
- Support process improvements related to data integrity and system integration.
Qualifications:
- Proven experience in data entry, data coordination, or related role—preferably in a maintenance or mechanical environment.
- Strong proficiency in Microsoft Excel (e.g., VLOOKUP, pivot tables, advanced formulas).
- Solid understanding of mechanical systems, truck components, or heavy equipment (required).
- Experience with CMMS, ERP, or fleet management software is a plus.
- Excellent attention to detail and organizational skills.
- Ability to work independently and communicate effectively with technical and non-technical teams.
Preferred Qualifications:
- Experience in the construction, transportation, or heavy equipment industry.
- Background in maintenance coordination or service administration.
- Familiarity with technical parts catalogs or OEM data.
