Role Summary:
The Member Experience Associate is the first point of contact for Kiln community members and acts as the “face” of Kiln.
Goals and Objectives:
Support the Community Management team to achieve the following:
- Personifies Kiln’s core values and strives to achieve our mission
- Create a welcoming and collaborative community environment amongst our members through events, operations, and building relationships between members
- Ensure that assigned Kiln facilities are fully operational and processes are running smoothly
- Drive growth and promotion of Kiln-provided service offerings
- Take direction from the Community Director to support the Community Team as required
Key Relationships:
- Cross-functionality between other locations
- Liaison between Kiln and BVA
- Liaison between Kiln & Janitorial Company
Major Responsibilities:
Responsibility for the functionality and organization of the office including front-desk, main lobby, storage areas, mail room, and greater Kiln office space.
Primarily responsible for, but not limited to, the following areas of responsibility:
Front desk
- Cheerful and friendly greeting of Kiln members and guests
- Site opening procedures
- Check-in process for tours, guests & events
- Organization, cleanliness and restocking of front desk area
- Responsibility for daily mail/package service & accurate distribution to members
- Facilitation of walk-in tours and collection of these in-bound leads when applicable
- Updating wording in lobby areas with new companies and quotes as directed by the Community Director
- Monitor Meridian phone, text, email and Slack channel and forwarding pertinent emails to applicable associate when necessary
- Filling content for the monthly newsletter to be scheduled for the 1st of each month and approved by the Community Director
- Back up for tours and events as directed by Community Director
Events/Programming
- Assist with set-up and breakdown of events when needed (large events or absence of responsible associate- Member Experience Manager)
- Help with member programming as needed and as directed by Community Director
Operations
- Community reset daily (Restocking bathrooms, common areas, Club areas, conference rooms, etc.) in coordination with Member Success Lead and Member Experience Manager.
- Manage maintenance ticketing portal is correspondence with Member Success Lead
- Liaison between Kiln & Janitorial Company to ensure building cleanliness including promptly taking care of spills and countertops
- Scheduling office deep cleans as needed for move-ins.
- Preparation of new member office move-ins/inspection of offices after move-outs with Member Success Lead
Facilitation of new member onboarding process
- Preparing fobs and keys as needed for Orientation
- Welcome kits
- Member portal & Slack invitations
- Ensuring payment received PRIOR to Orientation in cooperation with Member Success Lead
Misc Admin Tasks
- Development of new organizational systems for inventory as needed
- Inventory/purchasing/restocking of supplies for the site including Business Center & Kiln Marketplace
- Cross-train in all areas and roles in Kiln Meridian to ensure a smooth transition to available opportunities and other locations.
Preparation of communication to members
- Physical Digital Signage

Ideal Experience and Skills:
- Partial completion of a college degree preferred, not required.
- Office management or administrative experience
- Customer service or support experience
- Must have strong verbal and written communication skills
- Exceptional organizational and multitasking skills
- Demonstrates integrity, dependability, responsibility, accountability, self-awareness, work ethic, follow-through, and empathy
- Passion for entrepreneurial communities
