Kids Thrive is looking for a Business Office Manager who would be responsible for ensuring prompt and courteous customer service to all consumers; supports the program through scheduling transportation, ordering program supplies, processing intakes and referrals, and contributing to daily program operations
Job Duties:
- Answers incoming phone calls and warmly greets clients, families, and visitors, ensuring a welcoming and supportive first impression.
- Assists with intake processes, including completing paperwork and entering new referrals into the EMR accurately and efficiently.
- Learns, uses, and helps implement EMR and CRM systems to support efficient documentation, referral tracking, communication, and workflow management.
- Maintains medical, administrative, and staff records, including tracking and logging referrals and ensuring documentation compliance.
- Secures prior authorizations for services when needed and follows up to ensure timely approvals.
- Coordinates and schedules transportation for clients; addresses transportation concerns and ensures timely communication.
- Prepares group and program materials to support clinical staff and daily program operations.
- Applies knowledge of administrative workflows, accounting practices, and data processes to support program functioning.
- Utilizes Microsoft Office Suite and other software systems to organize information, manage reports, and maintain accurate records.
- Demonstrates understanding of mental health terminology, pediatric behavioral health services, and confidentiality standards.
- Maintains strong organizational and time‑management skills to ensure tasks are completed accurately and on schedule.
- Manages multiple responsibilities while remaining calm, professional, and effective in a fast‑paced environment.
- Communicates clearly with clients, families, staff, and external partners; provides excellent customer service.
- Orders program supplies and materials, manages inventory, and ensures resources are available as needed.
- Assists with miscellaneous projects and provides administrative support to enhance program operations.
- Perform other duties as assigned to support the mission and goals of Kids Thrive.
Pay: $44,000.00 - $55,000.00 per year
